As a Talent Acquisition Coordinator at Dolese, you will serve as the primary point of contact after a candidate signs their offer letter, communicating all required tasks of the pre-employment process and providing guidance until their first day. You will coordinate and manage orientation for all new hires, communicating with all internal parties and new hires to support a seamless transition. - Coordinate and schedule pre-employment screenings including background checks, physicals, and drug screens.
- Monitor and provide updates regarding pre-employment screening statuses and results to applicants and hiring managers.
- Manage workflow processes in applicant tracking system (Workday) to ensure accurate data entry and a smooth transition from candidate stage through new hire onboarding.
- Coordinate new hire orientation by scheduling orientation, sending out invitations, setting up the room, booking hotels, and ordering food as needed.
- Manage the I-9 verification process for all new hires, ensuring timely and compliant submission.
- Provide administrative and operational support to the Talent Acquisition team as needed, such as reviewing candidates, scheduling interviews and updating information in Workday.
- Partner with Communications to maintain Dolese’s presence on third-party recruitment platforms to increase visibility and attract qualified candidates.
- Coordinate and participate in job fairs, community activities, and other public and departmental recruitment-related events to help build talent pipelines and create meaningful connections within the community.
- Interact with candidates, recruiters, HR, hiring managers and the Health, Safety and Environmental team to assist with resolving questions or challenges during the pre-employment and onboarding processes.
- Process bills for payment from vendors used for the pre-employment process.
- Develop and maintain comprehensive knowledge of recruitment, employment, compensation, benefits, and other related organizational policies and regulations to serve as a trusted resource for supervisors, HR, and others on recruitment practices and procedures.
- Assist with reviewing recruitment processes and recommending innovative solutions that contribute to process efficiency and elevate candidate experience.
- Regular, reliable attendance at the worksite or assigned work location.
- Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed.
- Bachelor’s degree in Human Resources, Business, or related field OR Associate’s degree in Business or related field AND a minimum of two (2) years of administrative support experience in recruitment or related area.
- Experience with Workday HCM and Recruiting preferred.
- General understanding of Human Resources and the recruitment process.
- Self-motivated, organized, and detail oriented with strong organizational and time management skills.
- Excellent communication abilities including written, verbal, and presentation skills.
- Ability to maintain confidentiality of all information.
- Excellent interpersonal skills and a positive attitude that fosters effective relationships.
- Ability to demonstrate a strong customer-service orientation in a team environment.
- Ability to learn and apply new concepts effectively in a fast-paced, dynamic, and evolving environment.
- Proficient in Microsoft Office programs specifically Excel, Outlook, and Word.
- Willingness to work nights, overtime, and weekends as required.
- Ability to lift, push, or pull objects of various dimensions up to 30 lbs. of weight occasionally.
- Ability to perform primarily sedentary work and tolerate prolonged standing, sitting, and walking.
- Ability to perform repetitive motions such as typing and data entry using a keyboard and mouse.
- Ability to communicate clearly and effectively.
