Staff Accountant
Objective: Diaz Companies is looking for a Staff Accountant to join our team on a full-time basis at our Kingsley, PA office location. CPA licensure is preferred but not required.
This role provides financial, administrative and clerical services to our growing organization(s). The Staff Accountant will be responsible for (but not limited to) managing financial records, assisting with tax preparation, posting sales & cash receipts, generating customer invoices, filing sales and use tax returns, bank and credit card reconciliations, issuing 1099-MISC to applicable vendors, filing, and other general office / clerical duties. The ideal candidate will be a positive and upbeat team player.
This position requires a detail oriented, organized individual with a good work ethic. Candidate must be able to multi task and have a minimum of 5 years experience. Excel experience is required.
Accounting degree preferred. Sage (Peachtree) experience is preferred.
Essential Job Functions:
•Examine financial statements to ensure accuracy and compliance with financial policies and procedures.
•Assist with accounting-related activities such as bank reconciliation, account balance maintenance, general ledger maintenance, etc.
•Help monitor budgets, track expenditures, and identify areas of cost reduction
•Performing day-to-day financial transactions, including invoicing, verifying, classifying, computing, posting and recording accounts data.
•Generate financial statements and related reports using the accounting software program (SAGE)
•Preparing bills, invoices and accounts payable payments; including cash and checks for bank deposits and credit card transactions.
•Reconcile all accounts to ensure that all payments are accounted for and properly posted.
•Verification of invoices versus packing slips to ensure accurate charges.
•Research, follow up, and resolve all internal or external inquiries or problems via phone, mail, or e-mail in a professional manner and within established customer service guidelines.
•Preparing and distributing monthly customer billing statements. Verification and resolution of any discrepancies found.
•Monitor all past due accounts on a weekly basis and effectively communicate with the appropriate parties as needed regarding the status of customer / vendor payments.
•Daily, weekly, monthly, quarterly, annual posting and reconciling of payroll and other necessary journal entries, including accrual calculations and entries.
•Daily communication with Controller / Office Manager regarding cash balances, AP/AR operations, invoice status & collections.
•Maintain and update appropriate (Excel) spreadsheets.
•Maintain vendor W-9’s and assist in preparation of annual forms 1099-MISC.
•Maintain customer tax exempt certificates file.
•Recognize when sales tax is applicable to customer and vendor invoices.
•Calculate and file monthly sales tax returns.
•Assist with answering phones and processing customer dumpster orders.
•Assist in other reasonable duties and office /clerical tasks as needed and assigned.
Knowledge, Skills & Abilities:
•Recent experience in accounting, or similar bookkeeping role.
•Demonstrated ability to accurately calculate, post, correct, and manage accounting figures and financial records.
•Solid understanding of basic bookkeeping, accounting principles, fair credit practices and collection regulations
•Hands-on experience with spreadsheets and accounting software; Peachtree / SAGE Accounting experience preferred.
•Data entry skills along with a knack for numbers.
•Must be extremely detail-oriented with attention to accuracy.
•Strong problem identification and resolution skills.
•Ability to multi-task, prioritize, plan, execute and see projects through to completion.
•Excellent teamwork, customer-service, organization and negotiation skills.
•Must possess a strong work ethic and high level of moral judgment for handling confidential information and monetary transactions.
•Build and maintain relationships with internal and external customers, vendors and agencies.
•Strong written, verbal, and interpersonal communication skills required.
•Positive team attitude with ability to work well independently or in a group.
•High level of proficiency with Microsoft Office suite (Word, Excel, Outlook). Understanding of how to navigate and effectively use the internet.
•Ability to read/write English at a proficient level.
•Ability to pass drug/alcohol screening upon hire and randomly throughout employment.
