Job Description
The primary role of the Shop Administrative Assistant is to provide comprehensive administrative and coordination support to the Shop Manager and shop floor operations. This role ensures the smooth operation of daily tasks by managing communications, records, scheduling, and employee timekeeping. The Shop Administrative Assistant acts as a liaison between departments and maintains organization within the shop office to support productivity and compliance.
Essential Responsibilities:
•Manage the Shop Manager’s calendar, schedule appointments, and coordinate internal and external meetings.
•Handle all incoming and outgoing correspondence including emails, phone calls, and mail.
•Prepare reports, presentations, spreadsheets, and documentation as requested.
•Maintain physical and digital filing systems in an organized and secure manner.
•Enter and update data accurately across relevant platforms and systems.
•Facilitate communication between the shop and other departments such as engineering, purchasing, and sales.
•Serve as the point of contact for internal and external inquiries related to the shop floor.
•Coordinate and follow up on tasks with various teams to support project timelines and completion.
•Oversee and process timecards and PTO requests for shop employees.
•Collect, track, and verify employee timesheets for accuracy.
•Support day-to-day administrative functions within the shop office.
•Participate in assigned special projects and continuous improvement initiatives.
•Ensure compliance with all applicable company policies, safety standards, and procedures.

Skills And Qualifications
•Minimum – High school diploma or GED required
•Strong administrative, time management, and organizational skills.
•Excellent verbal and written communication abilities.
•Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office systems.
•Ability to multitask and prioritize effectively in a dynamic, fast-paced environment.
•High attention to detail and accuracy in all work.
•Experience supporting operations in a manufacturing or shop environment preferred.
•Professional demeanor and strong problem-solving abilities.
•Must be Bilingual (English and Spanish)
Physical Requirements and other items to communicate
:
Must be able to sit, stand, and walk for extended periods in a manufacturing environment. May occasionally be required to lift up to 25 lbs. Must be comfortable working in a shared office space with periodic interruptions. Occasional overtime may be required to meet deadlines.
