We are seeking a highly organized and detail-oriented Shipping & Logistics Coordinator to join our operations team. This role is pivotal in managing all inbound and outbound logistics, ensuring the accurate, efficient, and timely delivery of goods while maintaining compliance with internal procedures and external regulations. You will collaborate with internal departments, vendors, freight carriers, and warehouse staff to optimize logistics operations and enhance customer satisfaction.
- Coordinate all incoming and outgoing freight shipments, ensuring accuracy and efficiency.
- Schedule pickups and deliveries with freight carriers, 3PL providers, and logistics partners.
- Track shipments using Transportation Management Systems (TMS) and resolve any delivery or billing issues.
- Prepare and package outgoing shipments in compliance with company and carrier requirements.
- Generate and manage shipping documentation, including labels, bills of lading, packing slips, and export documentation.
- Process customer and vendor returns; maintain proper documentation and follow-up.
- Verify incoming shipments against packing slips and purchase orders.
- Log and track received goods accurately using ERP and Warehouse Management Systems (WMS).
- Collaborate with the Warehouse Manager to ensure proper storage, labeling, and movement of inventory.
- Conduct inventory checks, cycle counts, and assist in resolving discrepancies.
- Notify relevant departments of received materials for production or stocking.
- Communicate and negotiate rates, delivery terms, and service contracts with freight carriers and suppliers.
- Review shipping invoices for accuracy and ensure cost-effective shipping solutions.
- Manage vendor relationships and support procurement and sourcing activities.
- Analyze shipping data to identify trends, inefficiencies, and areas for process improvement.
- Perform root cause analysis of shipping issues and implement corrective actions.
- Support demand planning and production planning with logistics insights.
- Maintain logs and reports related to shipping, receiving, and freight costs.
- Respond professionally to customer and vendor inquiries via phone and email.
- Provide timely updates on order status, back-orders, and shipping timelines.
- Collaborate cross-functionally with purchasing, production, and customer service teams.
- Ensure high customer satisfaction through proactive communication and issue resolution.
- High school diploma or equivalent required; Associate or Bachelor's degree in Logistics, Supply Chain, Business, or Operations Management preferred.
- 4–6 years of experience in logistics coordination, shipping & receiving, or freight management.
- Experience working with ERP systems (e.g., Microsoft Dynamics GP), WMS, and TMS is strongly preferred.
- Strong understanding of supply chain, logistics, and warehouse operations.
- Proficiency in Microsoft Office (Word, Excel, Outlook); SQL experience is a plus.
- Excellent verbal and written communication skills; professional and customer service-oriented.
- Strong problem-solving and analytical skills, including budgeting and freight cost tracking.
- Experience with freight operations, vendor shipping portals, and compliance regulations
- Mechanical knowledge of warehouse equipment (e.g., forklifts) is a plus.
- Ability to work independently and collaboratively in a fast-paced environment.
- Highly organized, detail-oriented, and proactive in managing timelines and tasks.
- Ability to lift up to 25 lbs occasionally.
- Work performed in both office and warehouse settings.
- Moderate noise levels; proximity to forklifts and moving equipment.
- Hourly Pay: $24 – $30 (Based on Experience)
