Responsible for assisting the Operations Management in the control of logistics planning, coordination and acquisition of shipping services for the operation, by performing various task associated with, evaluating shipping needs, obtaining, organizing and generating the proper documentation for items to be shipped and arranging movement of freight. Maintains and updates shipping related systems, monitoring the shipping activities to ensure quality of service, and customer delivery expectations consistent with company policy and performance standards.
Attention to detail is an important part of a Shipping Administrator job. He/she is normally required to record all pertinent information for each package shipped. This data generally includes tracking information, weight, dimensions and special notations regarding fragility, hazardous materials or unpacking instructions.
This position requires professional and prudent communications both internally and externally working in a team environment with a diverse group of associates, customers, and suppliers.
Job may require overtime and a flexible schedule, reporting early and working late including weekends from time to time.
Evaluates the shipping need and assist with providing the best course of action including but not limited to inform regarding shipping services, weights & freight permits, and other information needed, obtain customer approval as required.
Coordinates the assembly of packaging materials and packages parts per instructions, in preparation for shipment as required
Organizes and generates the proper documentation for items to be shipped, ensures the accuracy of all domestic, international and hazardous materials shipping orders, documents by strict adherence to standard operating procedures.
Arranges for movement of freight to consignee/agent & updates the system with information
Confirm physical shipment of goods and facilitate tracking of shipments
Coordinate the functions of all shipping related activities to assure proper delivery of materials, parts or finish goods to customers.
Identify errors on packing lists, shipping documents (BOL) & invoices and correct them
Maintains all shipping related systems by entering and updating data including all pertaining to domestic and international shipments into the company’s ERP (Tekla) entering or verifying data into the shipping systems of commercial freight carriers, enter into logistic management system and maintain all data and records relative to shipping activities.
Reports in a timely manner any quality issues detected to immediate supervisor, completes proper documentation following department reporting procedure.
Recommends, initiate and implement best practices in shipping processes.
Implements and maintains 5’S practices in his/hers work area including in equipment according to company procedures
Help with or complete special projects at the discretion of the Supervisor including but not limited to documenting internal work procedures.
The Shipping Administrator needs to work with the manufacturing staff and freight providers, and should therefore have the skills to deal with the people in a proper manner as prescribed by the organization.
High School Diploma or GED preferred; or one or more years related experience and/or training in the field; or equivalent combination of education and experience.
Required to read and write English, interpret and follow verbal and written instructions, ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals, ability to perform but not limited to the following tasks, be familiar with and able to interpret packing slips, enter into the computer the correct information Must be able to fill out bills of lading and be familiar with various forms that are used and required by the major freight carriers
Must be capable of estimating weight, and use that information to calculate the cost of shipping.
Must be familiar with proper packaging methods and able to interpret visual aids used to convey specific packaging requirements
Ability to present information and respond to questions from groups of management
Ability to define problems collects data, establish facts, and draw valid conclusions.
Knowledge of Microsoft Suite: Excel, Outlook and Word.
