Summary
We are seeking a dedicated Service Coordinator to join our team at Total Environmental Management, Inc. The Service Coordinator plays a vital role in supporting the operational success of the service department by organizing schedules, monitoring KPIs, and facilitating communication across teams. This position ensures that technicians have the information and resources necessary for effective equipment maintenance and repair. Skilled in prioritizing tasks, coordinating field assignments, and tracking service performance, the Service Coordinator upholds the standards set by the Operations Manager.
This role is central to maintaining workflow efficiency, customer satisfaction, and proactive communication. Committed to continuous improvement and operational excellence, the Service Coordinator helps ensure the timely and accurate delivery of service across all job sites.
Responsibilities
•Coordinate and manage service requests such as preventative maintenance, diagnostics, and repair work in alignment with department capacity and customer expectations..
•Assign and dispatch Service Technicians to service calls based on skills, proximity, and availability.
•Communicate job status, delays, and resolutions between service technicians, customers, and operations.
•Track service call completion, collect service documentation, and ensure accurate entry into company systems.
•Maintain real-time status updates of equipment on the Do Not Rent (DNR) and Check Unit (CU) boards.
•Monitor inventory of parts and consumables for scheduled service and communicate needs proactively.
•Support accurate and timely repair estimate entry and ensure approvals are obtained when needed.
•Assist with the creation of training schedules, safety tracking, and technician certification renewals.
Requirements
•Proven experience in a coordination or administrative role, preferably in a service-oriented environment.
•Strong relationship management skills with a focus on customer and employee satisfaction.
•Excellent organizational skills with the ability to manage multiple tasks effectively.
•Experience in supervising staff or teams is highly desirable.
•Familiarity with budgeting processes is a plus.
