Overview
We are seeking a highly organized and operationally focused Service Manager to oversee the scheduling and dispatching of service technicians, coordinate facility and fleet maintenance, and support overall service operations. The Service Manager plays a crucial role in ensuring preventive maintenance services are completed as part of customer service contracts and acts as a backup dispatcher for oil truck deliveries.
Key Responsibilities
Service Operations & Dispatching
•Build out the daily and weekly schedule for service technicians and dispatch them efficiently.
•Ensure all preventive maintenance services under customer service contracts are completed on time.
•Serve as the backup dispatcher for oil trucks, including creating schedules and assigning stops to drivers.
•Coordinate tank replacements with vendors when required for customers with tank contracts.
•Manage the on-call schedule for technicians, including weekend, holiday, and after-hours coverage.
•Order parts for service and repair jobs in a timely and cost-effective manner.
•Set labor rates and materials pricing for chargeable repairs.
•Assess whether equipment should be rebuilt or replaced based on cost and condition.
•Sell furnace replacements to customers when needed, including estimating and presenting quotes.
•Coordinate with Customer Service Representatives (CSRs) on invoicing, scheduling, and resolving customer service issues.
•Respond to escalated customer questions and complaints with professionalism and a solutions-oriented approach.
Staffing & Workforce Management
•Oversee hiring and training of service technicians.
•Manage staffing levels, including the use of part-time retirees and seasonal workforce adjustments such as summer layoffs.
•Ensure adequate coverage during peak seasons while optimizing labor costs.
Facility & Equipment Maintenance
•Oversee general facility maintenance, including hiring vendors and evaluating bids for repairs or improvements.
•Manage fuel rack maintenance, coordinating with vendors as necessary.
Fleet & Spill Response
•Oversee maintenance and compliance for oil trucks, including scheduling annual DOT inspections.
•Coordinate repairs and maintenance with external repair shops.
•Handle breakdowns, including arranging tow trucks and emergency repairs.
•Help coordinate spill mitigation through vendors when needed.
•Advise on vehicle capital expenditures (CAPEX) and major repairs to ensure cost-effective fleet management.
Qualifications & Skills
•Experience in service management, dispatching, or operations.
•Strong organizational and problem-solving skills.
•Ability to coordinate multiple priorities and adjust to operational needs.
•Familiarity with fleet maintenance, fuel systems, and facility management is preferred.
•Prior experience in heating oil, fuel distribution, or related industries is a plus.
