Summary
The Sr. Customer Fulfillment Specialist is the primary point of contact for customers regarding product supply, managing communications via phone, email, and in-person meetings. As the subject matter expert (SME) for the Customer Services team, this role oversees pricing, contract administration, data systems, customer issues, product quality, and invoicing. A key member of the Sales Team, the specialist tracks customer usage, coordinates deliveries, and resolves issues. Reports to the Manager, Customer Services.
Key Responsibilities•Partner with Sales to understand customer needs and build strong relationships.
•Ensure accurate SAP contract entry and invoicing; coordinate rebates, credits, and debits.
•Support AR resolution in collaboration with Sales and Finance.
•Provide historical data and usage trends to customers and internal teams.
•Coordinate with Finance for timely and accurate order processing and reporting.
•Schedule and manage DRA supply to meet commitments and avoid downtime.
•Forecast inventory needs using GAINS; adjust tank levels and injection rates; liaise with carriers.
•Plan and coordinate timely product deliveries with transportation partners.
•Provide ad hoc support for customer account issues.
•Lead resolution of complex customer escalations.
•Assist in addressing systemic issues and updating team procedures.
•Lead the onboarding and training process for new hires, including maintaining and updating team training guides to ensure consistent knowledge transfer and operational readiness.
•Review and submit GAINS orders to SAP; manually enter exceptions.
•Communicate delivery schedules and changes to customers.
•Coordinate product remediations with cross-functional teams.
•Maintain compliance with internal controls and ISO quality standards.
•Foster cross-functional collaboration and support team initiatives.
•Provide vacation and emergency coverage across commercial teams.
•Other duties as assigned.
•Travel occasionally (3–4 weeks/year) to customer and company locations.

Education & Experience
•High school diploma or equivalent required.
•5–7 years of business experience or 3–4 years in a supply chain role.
Preferred Qualifications
•Experience with GAINS Systems (Supply Chain & Inventory).
•Customer service background.
•SAP Sales & Distribution module experience.
•Project management exposure.
•Familiarity with Maximo.
