As our Preconstruction Project Assistant, you’ll play a key support role in the earliest stages of residential construction — from client onboarding to permitting and budgeting. You’ll help keep everything moving behind the scenes, making sure the right documents, numbers, and people are in place before the first hammer swings.
We’re looking for someone with a background in construction who thrives on structure, communicates well, and has strong organizational skills. You should be comfortable juggling details, coordinating with teams, and supporting complex workflows. ● Document Mgmt: Maintain and organize preconstruction files including architectural plans, specifications, contracts, permits, vendor info, and internal correspondence.
● Estimating Support: Gather subcontractor and supplier quotes, compile pricing details, and assist in developing preliminary budgets.
● Communication and Coordination: Serve as the point of contact for internal and external stakeholders, including clients, architects, subcontractors, and suppliers. Facilitate clear and timely communication. .
● Permitting & Compliance: Prepare and submit permit applications, track progress, and coordinate with relevant authorities.
● Meeting Preparation: Schedule preconstruction meetings, prepare agendas, take minutes, and ensure action items are completed.
● Vendor & Subcontractor Coordination: Maintain and update vendor and subcontractor databases, assist with prequalification processes, and track required documentation (e.g., insurance certificates).
● Schedule Development: Contribute to early-phase project timelines by tracking product lead times, subcontractor availability, and key milestones.
● Client Interaction: Support presentation prep, maintain clear communication, and help reinforce a positive, proactive client experience.
● System & Reporting Updates: Enter data into BuilderTrend and help generate internal and client-facing reports that track preconstruction progress.
● Process Contribution: Identify small ways to streamline systems and support a well-organized, detail-focused preconstruction process.
● An associate or bachelor’s degree in a related field is a plus, but diverse hands-on experience in residential construction is equally valuable and strongly preferred.
● 3+ years in residential construction, design/build, or preconstruction coordination
● Familiarity with reading plans, scopes of work, and construction documents
● Proficient in Google Workspace, Microsoft Office, and willing to learn BuilderTrend
● Detail-oriented with the ability to manage deadlines and shifting priorities
● Confident leading communication with clients, subcontractors, and vendors
● Familiarity with construction documents, terminology, and processes.
● Experience with permitting procedures in the Knoxville area.
● Basic understanding of construction budgeting and estimating principles.
