We are looking for an Administrative Assistant to join our team and support senior leadership in a dynamic, fast-paced environment. This is a key role at the heart of the team’s operations, where you will coordinate complex schedules across time zones, plan and execute meetings, and help leaders stay focused on strategic priorities. You will also contribute to critical business functions by managing budgets, supporting procurement processes, and participating in project and process improvement initiatives. The ideal candidate is detail-oriented, proactive, and thrives on building strong relationships while ensuring smooth and efficient operations across the board. Reporting to the General Manager, Closure, you will be:
•Coordinating schedules, meetings, and travel arrangements for senior leaders while balancing multiple priorities and stakeholders across time zones.
•Managing administrative tasks including documentation, internal communications, office supplies, and maintaining efficient filing systems.
•Supporting budget tracking and financial processes by preparing reports, analysing variances, reviewing expense submissions, and contributing to forecasting and annual planning.
•Liaising with vendors and finance teams to manage procurement processes, follow up on requisitions, and resolve invoicing issues.
•Contributing to business improvement initiatives by helping design and implement streamlined processes, participating in system rollouts, and supporting cross-functional projects.
•Building strong working relationships across teams, promoting a collaborative environment, and representing the leadership team with professionalism and approachability.
What you’ll bring
•Minimum of 5 years’ experience providing high-level administrative support to senior leadership teams.
•Strong expertise in managing complex calendars, coordinating meetings across multiple time zones, and handling last-minute scheduling changes.
•Proven ability to organize detailed travel arrangements, including international itineraries and visa requirements.
•Experience with budget oversight, expense reporting, and using financial systems such as SAP/BW Hanna.
•Solid knowledge of procurement processes and vendor management, ensuring compliance and effective collaboration.
•Excellent communication and interpersonal skills to build strong relationships with stakeholders at all levels.
•A proactive approach to supporting projects, driving process improvements, and delivering training when needed.
•Discretion, professionalism, and emotional intelligence to manage sensitive information and maintain confidentiality.
