Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have experience in office administration and possess strong communication and multitasking skills. As an Administrative Assistant, you will play a crucial role in supporting the daily operations of our company.
Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, take messages, and respond to inquiries
- Assist in the preparation of regularly scheduled reports and presentations
- Maintain office supplies inventory by checking stock levels and ordering supplies as needed
- Coordinate and schedule meetings, appointments, and travel arrangements for staff
- Assist with event planning and coordination
- Perform data entry, proofreading, and file management tasks
- Handle customer inquiries and provide excellent customer support
- Assist with basic bookkeeping tasks using QuickBooks software
- Maintain a clean and organized office environment
Qualifications:
- Proven experience as an administrative assistant or in a similar role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Attention to detail and problem-solving abilities
- Ability to work independently with minimal supervision
- Experience in construction is a plus.
- Knowledge of basic bookkeeping principles using QuickBooks is preferred
- Familiarity with event planning processes is a plus
