Job Summary
The Assistant Project Manager operates under the direct supervision of the Project Management Manager. Aims to learn project management skills for managing contractor projects. Manages the flow of material from the planning phase to the completion of each smaller and less technical projects. Maintains the schedule of jobs being handled, maintains accurate database on current projects, and assures required specifications are met for all jobs in progress. Actively participates in coordinating, analyzing, and acting upon information and feedback of customer needs, pricing, products, competition, and procedures. Obtains orders and provides order entry, expediting, pricing, follow-up, and other value-added services, as required.
Responsibilities
Essential Functions
•An apprentice-based position focused on training for managing commercial projects from inception to closure.
•Assists in preparing and maintaining project documentation, including project plans, reports, and schedules.
•Organizes and maintains project files and records, ensuring all documents are up-to-date and accessible.
•Schedules meetings, prepares agendas, and takes meeting minutes.
•Coordinates with project team members and stakeholders to ensure timely completion of tasks.
•Monitors project timelines and milestones, reporting any deviations or issues to the Project Manager.
•Assists in the preparation and tracking of project budgets and expenses.
•Facilitates effective communication within the project team and with external stakeholders.
•Drafts and distributes project-related communications such as emails, notices, and updates.
•Serves as a point of contact for project inquiries and provides information as needed.
•Ensure project deliverables meet quality standards and client expectations.
•Assists in the development and implementation of project processes and procedures.
Non-essential Functions
•May collect, compile, and analyze project data to support decision-making and reporting.
•Prepares regular status reports and presentations for project updates.
•Other duties as assigned.
Qualifications
•Associate degree in business administration, project management, or related field preferred.
•Minimum 1 year of experience in a project support role or administrative position preferred.
