Peak Utility Infrastructure is an integrated engineering and construction company that serves the Electric, Natural Gas, and Telecommunications industries. We provide a full suite of engineering, construction, operations, and maintenance services, including repair, replacement, maintenance, and installation of natural gas, telecommunications, and electric infrastructure through our operating subsidiaries: SiteWise, Kelly Cable, Riley Brothers, and Superior Pipeline Services.

The Project Coordinator will provide a high level of Administrative, and Project Controls support for a wide variety of utility construction projects. This role is critical to the overall success of our various construction projects across multiple locations. Under the direction of the General Manager, Supervisors, and Foreman, this position assists department management with project activities that facilitate efficiencies in project completion based on company, client, and municipality standards. Is responsible for verifying and ensuring quality workmanship, customer satisfaction through; 1) project preparation, walkouts, permitting, and cathodic protection coordination; 2) assist supervisors and foreman during project activities; and 3) quality control of restoration activities. It is critical for this position to establish and maintain a professional, trusting and respectful relationship with customers.

Roles And Responsibilities

- Coordinates with permit technician, initiates work order creation, verifies the accuracy, and maintains updates for MR’s (material requests) for individual projects and assembles and processes job packets.

- Assists with collecting, tracking, analyzing, and reporting on various items within multiple customer systems as requested.

- Creates quotes for incoming sales and outside sales representatives. Conversion of quotes to lost or work order status in CRM.

- Responsible for CRM customer updates for sales activities. Accurate entry of quotations and customer information into CRM.

- Completes administrative duties related to job responsibilities by entering and updating electronic project files (photos, emails, communications, destination & schedule with restoration vendors, coordinates service cards for corrections and delivery, coordinate job packets with proper service center, etc.)

- Prepares clear and concise written reports and forms including vehicle mileage reports, daily time sheets, work completed documents

- Prepares, verifies and directs invoices/bills from third party vendors.

- Verifies that transactions comply with customer contracts and Peak Utilities Services Group and Subsidiaries policies and procedures.

- Accurately assesses priorities, including making appropriate customer contacts, to optimize productivity of field employees.

- Schedules & updates daily crew schedules with supervisors and maintains timely communications with customer project management personnel.

- Schedules locates, locate meets and municipal inspector meetings.

- Maintains organized system of document retention.

- Maintains updated job scheduling and completion records.

- Responds to inquiries from internal departments regarding time reports, billing, unit and Time and Expense questions.

- Supports the coordination of ancillary services, third party vendor rentals and repairs for individual job projects.

- Coordinates and schedules the inspection and certification of tool and equipment inspection.

- Coordinates permits with city, county, and state entities for projects.

- Verifies and confirms project preparation actions with supervisors using appropriate established job checklists.

- Photographs and documents job site conditions in advance of job activities.

- Complies with traffic control and safety requirements while at job sites.

- Performs notice actions (including door hangers) to meet client requirements and facilitate customer satisfaction.

- Assists supervisors with project needs through pickup, delivery, and exchange of equipment and tools at job sites.

- Responsible for timely communication with customers and Peak Utilities Services Group and Subsidiaries staff.

- Responsible for the collection and reporting of monthly metrics for the department.

- Work closely with the Accounting team to track projects, provide information and reporting.

- Hold Operations team members accountable to timelines.

- Effectively manage a large workload with the ability to prioritize, multi-task, and coordinate several projects at various stages.

- Read and interpret multiple types of construction drawings to determine job scope.

- Actively communicate with customers, vendors, and supervisors on all aspects of individual jobs.

- Ability to track material and permits on various project sites.

- Coordinate the day-to-day activities of active construction projects, in consultation with Project Management.

- Effectively interact and builds relationships with customers.

- Liaison between multiple residential and/or commercial developers and all divisions of utility installation and the corresponding contractors.

- Inventory monitoring & audit management, including weekly audits to track inventory accuracy.

- Maintains updated job scheduling and completion records.

- Requests project job numbers and sets up the job numbers in various systems.

- Performs general data entry into project tracking Database. Performs data entry of time and material from field crew timecards into proprietary system.

- Follows through with tasks and processes until completion; ensures processes are complete with a high-level of follow through and follow up.

- Develop how to documents for each jurisdiction so new permit technician can proficiently perform their jobs.

- Develop training materials for permit technicians to become familiar with traffic control: this information is needed to submit permits and to develop traffic control plans.

- Develop training materials for the use of the traffic control program “Rapid Plan”. AJ in the training division is helping me develop a testing system to send to the permit techs to get them prepared to start using the program.

- Develop training material to become ATSSA certified. This certification is necessary to have when drawing traffic control plans. It is an extremely challenging certification to receive.

- Performs other duties as assigned.


Success Factors

- Maintains strong work ethic to ensure the required day’s work is complete.

- Proficient in Microsoft applications including Word, Excel, and Outlook. Working knowledge of Microsoft Office products

- Excellent verbal and written communication skills required; ability to maintain a high level of professionalism when interacting with all customers (internal/external).

- Experience working with underground utilities platforms preferred.

- Strong customer service skills, ability to build relationships. Strong interpersonal skills and solid team working abilities.

- Excellent analytical, high level of accuracy, attention to detail and decision-making skills.

- Data entry using the computer / 10-Key.

- Ability to work well under pressure and time constraints.

- Ability to maintain confidentiality concerning employee data.

- Strong time management skills.


Experience And Education

- High school diploma or equivalent desired

- 1-3 years’ experience of Construction Industry Experience is required.

- Experience working with underground utilities desired Sales and/or phone handling experience desirable, but not required.

- Prior crew coordination/scheduling experience desired.

- An equivalent combination of education and experience may be substituted on a year-to-year basis.


Additional Requirements/Licenses/Certifications

- Possession of, or ability to obtain, a valid State of Residence Driver’s License is required within two weeks of employment.

- Candidates must pass criminal and Motor Vehicle Record (MVR) background checks and pass a pre-employment drug screen.
