REPORTS TO: Operations Manager or Sr. Project Manager

Position Summary
The Project Assistant provides administrative assistance to the Project Management team.
Duties & Responsibilities
Administrative Assistance
•Provide and maintain meeting minutes for all staff, project-specific meetings.
•Assist with or prepare field files.
•Complete inventory control.
•Assist PM team as needed in preparing various internal reports and outgoing documents.
•Assist PM team with supporting documents for Billing, A/R, CPR’s.
•Assist PM team with preparation of timecards, COP’s, T/M tickets for other document submissions.
•Assist PM team as assigned.
Document Control
•Update/maintain Prolog/Excel/Operations Workbook.
•Receive and log in all inbound and outbound correspondence such as RFIs, submittals, Daily Reports, etc.
•Maintain electronic folders.
•Maintain contract documents and drawings.
•Track, follow up and insure documents such as vendor/subcontractor amendments, bonds and releases have been received, executed, and logged.
Data Entry
•Bluebeam, Prolog and other various data entry.
•Code and research invoices.
•JDE entry and reporting.

Preferred Qualifications (in addition to minimum qualifications)
Education/Experience
•Associate’s Degree (preferred emphasis – Construction) or 1 year of experience in an administrative role in the construction industry – i.e. Project Assistant or Contracts Administrator
Knowledge/Skills
•Strong communication skills
•Experience in data entry, payroll or bookkeeping
•Proficiency in MS Office Suite applications
Minimum Qualifications
Education/Experience
•High School Diploma or equivalent, or at least 1 year in an administrative role
Knowledge/Skills
•Able to prioritize and multi-task
•Good written and verbal communication skills
•Good organizational and time management skills
•Proficiency in MS Office Excel and Word
