The Procurement & Warehouse Coordinator is responsible for the receipt, storage, and distribution of materials, supplies, and equipment necessary to support operations as directed by Manager of Accounting. This position plays a role in inventory status, and cost-effective purchasing practices while adhering strictly to internal controls, policies, procedures, applicable laws, and regulatory standards.
A. The Procurement & Warehouse Coordinator reports directly to the Manager of Accounting.
B. This position exercises limited supervisory responsibilities over the Warehouse Associate, including direction of daily tasks, workload coordination, and operational oversight. Final personnel decisions and disciplinary actions remain under the authority of the Manager of Accounting.
C. Interaction with external vendors, contractors, and consultants shall occur only with prior authorization and oversight from the Manager of Accounting or other Supervisory Personnel.
The following duties are considered essential and must be performed with consistency and accuracy:
· Submit material and supply orders as directed by Manager of Accounting, ensuring alignment with approved budgets, vendor contracts, and purchasing policy.
· Direct and assists warehouse associate with duties, projects and daily tasks.
· Backup to the Warehouse Associate in their absence.
· Prepare, review, and process material requisition forms in accordance with established procurement procedures.
· Receive and inspect incoming freight for accuracy and damage; prepare and file receiving reports.
· Store received items in assigned warehouse locations using proper safety and inventory protocols.
· Transport materials by forklift and by hand; ensure all material movements are documented and traceable.
· Maintain inventory levels and storage areas in a clean, safe, and organized condition.
· Pull and issue materials to internal staff and contractors in accordance with documented requests.
· Work with Contractors to maintain efficient flow of material to work site.
· Enter receiving and charge-out transactions accurately into the inventory management system (e.g., NISC).
· Responsible for managing dumpster contracts and arrangements for trash, scrap, etc. at HQ and Fairport.
· Monitor inventory levels regularly and notify the Manager of Accounting of reorder needs or discrepancies.
· Participate in the preparation and execution of the annual physical inventory and assist in reconciliation of discrepancies.
· Pick up parts, supplies and material from vendors when necessary.
· Delivers material, equipment, and supplies to employees and contractors as needed.
· Checks PO Box and takes mail to the post office daily.
· Responsible for pool vehicle maintenance, mileage cards, etc.
· Assists in labeling and tagging material for stock and work orders.
· Ensures, reviews and approves all material is properly staged and ready for pick up by Contractors.
· Coordinates the proper handling, storage, and disposal of hazardous materials in cooperation with Manager, Safety & Compliance.
· Oversee the loading, unloading, and occasional delivery of material and equipment as needed.
· File material returns (RMA) with vendors for damaged, unacceptable or broken material.
· Responsible for checking bins and ensuring proper supply of stock and non-stock inventory items.
· Assist in posting material transfers to trucks.
· Greet, meet and establish professional relationships with salesmen and supplier representatives.
· Maintain a valid Missouri State Driver’s License.
· Must comply with all internal policies related to procurement, inventory, vehicle operation, and workplace safety.
· All duties must be performed in a manner consistent with applicable OSHA, DOT, and EPA regulations.
· Other duties as assigned, provided they are consistent with the scope and intent of this job description.

· Internal: Chief Financial Officer, Manager of Accounting, Warehouse Associate and NWEPC personnel.
· External: Authorized vendors, contractors, sales representatives, and consultants. Unauthorized external interaction is prohibited.
· Work is primarily conducted in an indoor, climate-controlled setting, with some outdoor tasks as required.
· Work location is primarily at Headquarters but will need to travel to Fairport Substation on occasions for deliveries and contractor material check-out, and on occasions deliver materials to job sites.
· Duties may involve exposure to dust, temperature extremes, and handling of chemicals or hazardous materials (with proper PPE).
· Work may occasionally require early morning, evening, or weekend hours to meet operational deadlines or inventory needs.
· Education: Bachelor’s degree in business, accounting or equivalent is preferred.
· Experience: A minimum of five (5) years of experience in warehouse operations within an electrical utility or industrial setting. Experience in construction, maintenance, or electric transmission is preferred. Prior experience with purchasing procedures and material handling preferred.
· Job Knowledge, Skills, and Abilities: Demonstrated knowledge of RUS specifications, transmission and substation material handling, and warehouse control systems. Proficiency in Microsoft Office and inventory software (e.g., NISC or equivalent). Ability to safely operate forklifts, company vehicles, and material handling equipment. Physical ability to lift items up to 50 pounds and work for extended periods on concrete flooring. Strong organizational and time management abilities with attention to detail. Ability to work independently and collaboratively in a fast-paced environment. Excellent communication skills. Capable of directing the daily work of others in accordance with policies and under supervisory guidance of Manager of Accounting.
