Job Summary:
The Vendor Procurement Coordinator is responsible for identifying, recruiting, and onboarding qualified vendors to meet the operational needs of the organization. This role involves building strong relationships with potential vendors, managing the recruitment pipeline, and ensuring a seamless onboarding process.
•Identify potential vendors through online platforms, industry networks, and referrals.
•Research and evaluate vendor qualifications to meet company standards.
•Address gaps in vendor coverage by proactively recruiting in needed areas.
•Establish and maintain strong relationships with prospective vendors.
•Act as the initial point of contact for vendor inquiries, providing professional and timely communication.
•Negotiate vendor rates when applicable.
•Maintain a vendor database and track recruitment activities to ensure timely follow-ups.
•Monitor market trends to identify opportunities for expanding the vendor network.
•Documentation Management:
•Assist vendors with completing onboarding paperwork and ensure compliance with company standards.
•Verify vendor credentials, licenses, insurance, and other required documents with the compliance team.
•Input vendor information into the company system (FIT).
•Coordinate with compliance teams to facilitate a smooth transition from recruitment to active status.
•Vendor Profile Maintenance
•Maintain up-to-date vendor profiles, including contact details, rates, trades, color and coverage areas.
•Collaboration and Support
•Cross Departmental Coordination:
•Collaborate with compliance and service teams to align recruitment efforts with organizational needs.
•Address vendor-related concerns by effectively communicating with internal team.
•Identify recurring vendor concerns and recommend strategies to address root causes.
•Partner with the vendor relations team to refine policies, contracts, and procedures based on feedback.
•Vendor Portal Management
•Assist with creation of training materials and guides to help vendors utilize the portal effectively.
•Assist vendors with registration, updates, and profile management.
•Provide onboarding support and promptly respond to vendor inquiries or technical issues.
•Serve as a liaison between vendors and internal teams, ensuring compliance and vendor satisfaction.
•Guide vendors on how to navigate and understand key portal features and pages.
Job Type: Full-time
Pay: $21.00 - $23.00 per hour
Expected hours: 37.5 per week
