Operations & Maintenance Coordinator (West Deptford)
Job Summary
This position is responsible for coordinating and optimizing the plant resources in the maintenance and operations area by completing procurement activities, planning contract maintenance activities, maintaining the Computerized Maintenance Management System (CMMS), and overseeing shipping and receiving of goods. This position will be dually responsible for supporting the daily planning and scheduling of all maintenance as directed by the Maintenance Manager and supporting the Operations Manager.
This position operates from established procedures, performing duties with general direction and supervision. Decisions are made within prescribed operation procedures and guidelines with input from the Maintenance Manager or other designated Manager. The position encounters new and varied work situations involving a moderate degree of complexity.
Job Functions
All of these Primary Functions are at the direction of the Maintenance Manager or other designated Manager onsite and following policies and procedures that are in place, including but not limited to the Administrative Manual, the Safety Manual, the Operations Manual, and the Maintenance Manual.
•Acts as the Maintenance/Operations point of contact in the coordination of the facility’s short and long-term maintenance/ project planning and scheduling process.
•Must effectively communicate information to the Maintenance Manager, Operations Manager, Plant Manager and subordinate operation and maintenance personnel, relative to the condition of the plant equipment and performance, and provide suggestions for plant improvement.
•Reviews daily corrective work orders and establishes priorities based on Safety, Operational and commercial impact.
•Acts as the intermediate between the support groups and Operations department for the development of maintenance plans and schedules as well as routine CMMS backlog review.
•Plant Maintenance, Plant Operations, Projects, OEM (LTSA/CSA) to ensure all parties are aligned on major maintenance plans, schedules and budgets.
•Work with WDE Lead Team to develop 5 and 10-year major maintenance and outage site plan, planning these in CMMS tie all PM’s to these planned Outages to support budgeting.
•Ensure all pre-outage work is clearly scheduled and included in the outage planning milestones tracking tool. Schedule planning outage milestone update meeting with key stakeholders.
•Responsible for development and integration of the optimized plant wide and resourced loaded Outage schedule.
Contract Maintenance Activities
•Plan and coordinate mechanical, electrical, and technical contract maintenance activities with appropriate Manager and employees within the assigned area of responsibility, including daily, short-range and long-range planning.
•Perform continuous review of plans and activities to determine ways to increase the value of the Owner's asset.
•Prepare, track and maintain cost estimates and schedules.
•Utilize records and reports to assist in establishing frequency of maintenance requirements.
•Interact with Operations staff to improve maintenance effectiveness.
•Ensure the maintenance activities are properly supported with necessary parts, tooling and services on a timely basis.
Maintenance Management System Coordination/Oversight (CMMS)
•Assist Maintenance Manager managing work orders
•Complete audit of inventory as determined in the Administrative Manual or as directed by Managers
•Complete purchase requisitions in CMMS
•Input inventory information (adds/deletes) to maintain accurate CMMS inventory
•Ensure all material is received into the CMMS properly and per Sarbanes Oxley guidelines
•Ensure proper approval is obtained on purchase orders
•Manage Document Library by updating Drawings and OEM Manuals
•Create new Preventative Maintenance Tasks as required
•Adjust Preventive Maintenance frequency as directed
•Maintain equipment list and history
•Report CMMS issues to Management on a timely basis
•Provide training and problem solving for other employees on the CMMS
•Perform audits on portions of the CMMS
•Maintain paper and electronic files to document maintenance history, in particular with respect to required compliance
•Perform other duties as needed to maintain the CMMS
Update WDE Monthly Report with Work Order Status Procurement Activities
•Contact vendors and contractors to obtain quotes or estimates for goods and services.
•Review specifications, scope of work, and pricing with appropriate Managers, consultants or employees.
•Submit purchasing requests and requests For Quotations (RFQ).
•Procure goods and services with approved purchase order.
•Coordinate deliveries and work dates with vendors and contractors, respectively.
•Expedite deliveries and start dates.
•Audit procurement activities to ensure that they comply with the West Deptford Administrative Procedures and other requirements.
The Maintenance & Operations Coordinator reports to the Maintenance Manager and works in cooperation with the other site Managers and maintenance employees as needed to insure the safe, efficient, reliable, operation and maintenance of the plant.
Education and Experience – An equivalent combination of education, training and experience will be considered.
•Bachelor’s or Two year Technical degree in engineering or the physical sciences preferred, or minimum of 4 years in control room operations in lieu of education.
•5 years of experience in a maintenance role preferably in the power generation industry
•Requires strong personal computer skills specifically in Word, Excel, Project and CMMS. Experience in Maximo
is a strong plus.
•Ability to maintain strict confidentiality of sensitive information

Work Environment – Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.
•Protective equipment such as hard hats, safety glasses, air masks, ear protection, chemical suits, hot gloves, high voltage protective equipment and other equipment must be worn in the performance of some duties.
•Work with hazardous materials may be required.
•Requires working extended working hours, varied shifts or 12 hour shifts with weekend and holiday work as required by schedules, workload and plant conditions. On call status (day and night) may be required.
•Includes working indoors and outdoors.
