We’re looking for a highly organized and personable Executive Assistant and Office Manager to join our team and support the President, his family (including his beloved dogs!), and the broader staff at Clipper Petroleum. This dynamic role plays a key part in helping the office run smoothly and ensuring the President’s time is managed effectively and thoughtfully.
You’ll be a go-to person—handling scheduling, guest services, communication, office management, and even helping out with the dogs. We value someone who brings both professionalism and warmth to every interaction, thrives in a busy environment, and is just as comfortable coordinating executive calendars as they are giving belly rubs to the office pups.
Executive Support
•Manage complex calendars, schedule in-person and virtual meetings, and coordinate travel for the President and executive team.
•Serve as a communication liaison—via phone, email, and in-person—with internal and external stakeholders.
•Provide a daily briefing to the President and ensure his calendar and priorities remain up-to-date and organized.
•Track and renew necessary business licensing across all locations.
•Prepare reports, assist with sports ticket logistics, and handle personal errands as needed.
•Maintain the utmost discretion and professionalism with sensitive and confidential information.
•Providing support in caring for the President’s dogs during times when he is unavailable throughout the day.
•Anticipate the needs of the President and proactively address them.
Office Management
•Oversee daily office operations, including administrative duties, supply management, phone coverage, meeting coordination, and general organization.
•Serve as the primary point of contact for external service providers (cleaners, deliveries, building maintenance, etc.).
•Ensure the office, restrooms, and breakroom are clean, organized, well-stocked, and compliant with safety and health standards.
•Support internal communication and help create a welcoming environment for employees and visitors.

•Prior experience in an administrative or executive assistant role.
•A genuine love of dogs—this is a must!
•Positive attitude, professionalism, and a strong focus on client and team service.
•Outstanding organizational skills and attention to detail.
•Strong communication skills, both verbal and written.
•Excellent time management and the ability to juggle multiple tasks.
•Ability to work independently and collaboratively with a team.
•Discretion and sound judgment in handling confidential matters.
•Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
•A college degree is preferred but not required.
•A reliable team member who is able to work in office, Monday through Friday from 8:00 AM to 5:00 PM (hourly lunch break).
