Position Overview: Vulcan Metals Corp is seeking a dynamic and experienced Payroll Specialist.
This role is responsible for processing payroll and related reporting for all U.S. locations. This role ensures that payroll operations are accurate, timely, and compliant with federal, state, and local regulations, as well as internal company policies. The role involves analyzing payroll processes and ensuring adherence to all applicable laws and standards. Additional responsibilities include supporting other functions within the Payroll/HR department as needed. This position can work out of Atchison, Kansas and/or Kansas City, Missouri.
Primary Responsibilities:
- Ensure accurate and timely processing of weekly, bi-weekly, and semi-monthly payrolls for all U.S. locations, including both hourly and salaried employees, and unionized sites where applicable.
- Administer timekeeping systems, collaborating with site supervisors and managers to ensure hours are accurately recorded and approved on time.
- Maintain and update the time and attendance system, including configuration for shift patterns, allowances, and onboarding/offboarding of employees.
- Partner with timekeeping and payroll providers to troubleshoot issues and ensure efficient payroll processing.
- Generate and distribute payroll reports each pay period, ensuring timely delivery of general ledger reports to finance teams.
- Prepare and submit required government and legislative documents, including wage garnishments, tax filings, and other compliance-related forms.
- Administer and process terminations, layoffs, and employment verifications in accordance with U.S. employment laws.
- Conduct audits of payroll and benefits systems to ensure accuracy and compliance.
- Resolve payroll-related inquiries from employees and supervisors in a timely and professional manner.
- Maintain accurate employee records, including benefits, deductions, and adjustments based on employee requests or government mandates.
- Track and manage vacation accruals and balances in accordance with company policy.
- Ensure timely processing of legally mandated deductions such as child support and wage garnishments.
- Complete year-end processes including W-2 preparation and distribution.
- Draft and issue employment verification letters and other payroll-related correspondence.
- Support special projects and continuous improvement initiatives as needed.
- Maintain strict confidentiality of employee and company information in accordance with privacy regulations and company policy.
- Stay current with U.S. payroll legislation and best practices across all states where the company operates.
- Collaborate with the Corporate Payroll Manager on system improvements and process enhancements in timekeeping and payroll systems or other platforms.
- Provide regular updates to the Corporate Payroll Manager on daily activities, issues, and process improvements.
- Liaise with management, supervisors, production employees, respond and act on requests or questions.
- Work closely with Payroll Assistant, provide back up as required.
- All other duties as requested.
- Minimum of 5 years of payroll experience in a U.S. multi-state environment.
- Dayforce/Ceridian or other payroll/timekeeping system knowledge is preferred.
- Experience and ease with Microsoft products (Excel & Word).
- Post-secondary education in payroll, accounting, or a related field preferred.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred.
- Ability to sit or stand for extended periods while working at a computer or attending meetings.
- Occasional walking through manufacturing or operational areas, which may involve exposure to industrial environments (e.g., noise, dust, machinery).
- Ability to lift up to 20 pounds occasionally (e.g., moving files, office supplies, or training materials).
- Manual dexterity sufficient to operate standard office equipment such as computers, phones, printers, and copiers.
