We are a Family Owned and Operated Commercial Maintenance Company that was built on being the "go-to" company for many commercial property managers in the area. Services we provide are: Plumbing, HVAC installation & service, Electrical, Carpentry, Painting, General maintenance, etc.
You will perform all activities necessary to process payroll, including figuring time cards, verify hours worked to GPS. Work closely with techs to gather important information and ask/answer questions regarding their time. Work in Excel, Service Titan & QuickBooks programs.
You will provide administrative support to the organization of about 80 employees and eventually cross-train in all areas to be a part of a team of 2 that fills in when other employees are out. This includes but is not limited to: receptionist duties, create & dispatch or schedule work orders, accounts payable, accounts receivable, billing, issuing purchase orders, etc. This position offers multiple paths of growth within the company.
The ideal candidate would be a motivated self-starter, and detail-oriented individual that thrives in a fast-paced environment.
Essential Duties:
•Answer 5 line phone, transfer customers to the proper employee or take messages for out-of-office employees.
•Take work orders over the phone
•As a payroll assistant you will figure timecards, compare GPS to timecards, and enter data into QuickBooks. Work with the techs assuring time cards are accurate. Prepare reports that include summaries of earnings, techs production & time card summary.
•As an office assistant you will also perform duties such as filing, photocopying, faxing, emailing, data-entry, assisting with accounts receivable and payable, verifying that turned in work orders have been completed and we have all the information needed to bill them.
•Enter invoices from vendors, manage purchase orders, etc.
Qualifications:
•Must be pleasant, professional, and speak clearly to all customers over the phone and be able to take down information correctly
•Must have excellent written and verbal communication skills
•Must be able to perform basic mathematical calculations
•Must be detailed oriented, organized, and able to multi-task.
•Must be proficient in Microsoft Office Suite and QuickBooks.
•Must be able to work well independently and as part of a team
Pay is Dependent upon Experience
