As an OSS Invoicing Lead, you will be responsible for for end-to-end management of the invoicing, cost-validation and cost controls functions supporting 75+ customer sites that encompass up to 5,000 resources performing outage maintenance activities and bill costs on a weekly basis. This role manages and Invoicing Lead and Invoicing Specialist team, drives continuous process improvement activities, and acts as the subject matter expert for the Outage Maintenance Bid to Bank workflow. The Manager partners closely with business operations leadership and shared service functions to optimize cash flow, enhance customer experience, and ensure accurate billing and accounts receivable management.
You will report to the Director of AOMS Transformation and will be based out of our Waltz Mill facility in Madison, PA.
Key Responsibilities
•Directly manage and invoicing lead and invoicing specialist team (4-5 full time employees, plus outage surge contractors)
•Coach, mentor, and hold the team accountable for individual and collective performance
•Plan resource staffing for seasonal outages and ongoing maintenance within budget
•Champion Lean initiatives to streamline invoicing and cost-validation workflows
•Identify root-cause issues, design standard procedures, and monitor efficiency gains (e.g. invoice cycle time, first pass accuracy)
•Own and optimize the SAP Bid to Bank workflow, ensuring seamless handoff from cost capture to invoicing
•Train cross-functional teams on Bid to Bank best practices and system updates
•Serve as primary liaison to Finance, Accounting, IT, Procurement, and other Business Support functions
•Collaborate with Business Operations leadership to align invoicing process with strategic cash-flow and customer experience objectives
•Lead organization-wide change initiatives (e.g. digital invoicing roll-outs, AR automation) that drive measurable improvements in DSO and satisfaction scores
•Oversee end-to-end invoicing and cost-validation activities for 75+ sites, ensuring completeness and compliance with contractual terms
•Approve complex or high-value invoices and validate cost allocations prior to billing
•Provide second-tier support for site level escalations on cost discrepancies, billing disputes, reporting errors, and AR inquiries
•Partner with Account Executives, Legal and Contract teams to resolve disputes and enforce audit requirements
•Define and track key performance indicators (KPIs) such as invoice accuracy rate, billing cycle time, AR aging, and cash-collection effectiveness
•Deliver regular dashboards and executive summaries to senior leadership
•Work with Finance, Treasury & Billing teams to develop and execute collections strategies, improve cash application and reduce DSO
•Forecast monthly billing and cash flow impacts, identifying risks and mitigation plans
•Ensure adherence to internal controls, SOX requirements, and external audit standards
•Coordinate with internal audit and external auditors on invoicing and AR processes
•Support ad-hoc special projects and senior leadership initiatives
•Remain current on industry best practices and regulatory changes affecting invoicing and revenue recognition
Qualifications
•BA/BS in Business, Finance, Accounting, Operations Management
•5+ years of invoicing, accounts receivable, financial operations, or related roles
•CMA, Lean Six Sigma Green Belt (or higher)
•Expert proficiency in SAP (Bid to Bank, FI-AR, SD modules), BI/Reporting tools (e.g. PowerBI, Tableau)
