The Operations Service Administrator is responsible for ensuring the quality of the operation team’s workflow, purchase orders, service orders, and work calendar (70%) and Operation Facility Service Team workflow, purchase orders, service orders, and work calendar at Crossroads (30%). This position will be based full-time at 2601 Forest Creek Drive, Round Rock, TX. This position will report to the Central Region Operations Supervisor and VP of Operations.
- Lead point of contact with Novotx/Adutant for service and purchase order creation and coordination for the Operations division (all regions).
- Assist with the management of Smartsheet software as required.
- Prepares work to be accomplished by gathering and organizing documents, processes, operating procedures, and related information.
- Maintains data base of active operations service orders in all regions, deadlines, statuses, and updates items regularly to all staff levels (management, accounting, field, general, etc.).
- Manages incoming service and scheduling of service orders for the Operations division 8am-5pm.
- Assists with updates of Trello on assigned resources.
- Assist with vehicle policy tasks.
- Assists with timesheet organization.
- Coordinates assigned team resources needed to carry out service requirements and controls within an established timeframe.
- Maintains close and frequent contact with Operations members, internal staff, and vendors.
- Ensures execution of plans and projects with upmost efficiency.
- Coordinates day to day of Operations service activities.
- Works closely with Operations Mid-management and senior management to achieve completion of assigned tasks/projects.
- Ensure compliance with company policies and procedures.
- Contributes to team effort by accomplishing related results as needed or directed by Operations management.
- Suggest or implement improvements in policies and procedures to achieve efficiencies and improve effectiveness.
- Perform other administrative duties as assigned by management.
- Excellent communication skills - written and verbal
- High school diploma or equivalent and 2-5 years of general office experience.
- Two years of experience as an administrative assistant or office administrator
- Good phone and customer service skills
- Data entry tasks including 10-key experience
- Attention to detail for completion of reporting tasks
- Proficiency in use of computer software including Microsoft Office Suite (Word, Excel, Outlook, etc.)
- Excellent Independent Problem Solving
