Overview
We are seeking a detail-oriented and organized Office Assistant to support daily administrative operations within our office environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or clerical roles. - Greet visitors and clients warmly at the front desk, providing excellent customer service and maintaining a professional demeanor.
- Manage multi-line phone systems, directing calls accurately and courteously while taking detailed messages when necessary.
- Handle data entry tasks using Microsoft Office, Google Workspace, and other office software to maintain accurate records and files.
- Assist with calendar management and scheduling appointments for staff.
- Perform clerical duties such as filing, proofreading documents, organizing supplies, and managing correspondence.
- Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices.
- Provide general office management support including supply ordering, maintaining cleanliness, and ensuring office equipment functions properly.
- Support administrative projects such as proofreading documents, managing emails, and supporting personal assistant duties if required
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent computer literacy with the ability to learn new software quickly.
- Strong phone etiquette skills.
- Demonstrated customer service skills with a friendly and professional attitude.
- Ability to perform data entry accurately with high typing speed and attention to detail.
- Knowledge of office management procedures including filing systems, calendar coordination, and supply inventory management.
- Experience as a receptionist or medical/dental receptionist is a plus, along with personal assistant responsibilities.
- Familiarity with bookkeeping practices such as invoicing and expense tracking using QuickBooks or similar tools.
- Excellent proofreading skills to ensure accuracy in all written communications.
