Marks Brothers, Inc. is seeking a reliable, detail‑oriented Office & Accounting Administrative Assistant to support daily office operations, accounting functions, recruiting coordination, and payroll processing. This role is ideal for someone who enjoys variety, stays organized under deadlines, and has experience working with financial and employee‑related data.
- Answer and route incoming phone calls professionally
- Greet visitors and support general office operations
- Maintain organized digital and paper filing systems
- Enter miscellaneous vendor bills accurately
- Match invoices to purchase orders (2‑way and 3‑way matching)
- Identify, research, and help resolve invoice and PO variances
- Coordinate with vendors and internal teams to resolve discrepancies
- Assist with payroll processing and data entry
- Track timecards, PTO, and employee changes
- Ensure payroll data accuracy and confidentiality
- Support compliance with wage‑and‑hour requirements
- Assist with job postings and applicant tracking
- Schedule interviews and coordinate candidate communications
- Support onboarding paperwork and employee records- 2+ years of experience in an administrative, accounting, or office support role
- Experience with accounts payable and invoice/PO matching
- Strong attention to detail and organizational skills
- Proficiency with Microsoft Excel and general accounting and payroll systems
- Ability to handle confidential information with discretion
- Payroll processing experience
- Recruiting or HR administrative support experience
- Construction, manufacturing, or operations‑based experience a plus
