Job Summary
The Materials Coordinator is responsible for facilitating a team of Material Handlers and Clerks, including union-represented employees, in the execution of inventory control operations within the Materials Management Department. This role ensures compliance with established procedures to achieve maximum accuracy and efficiency across all facets of the material management process. The Materials Coordinator plans, coordinates, and expedites the flow of materials, parts, and assemblies between departments based on operational priorities, while also updating clerk schedules to ensure adequate coverage during absences or staffing gaps.
This position requires participation in the Materials Management on-call rotation and responding to storm restoration and emergency events as needed. The Materials Coordinator applies a deep understanding of materials, procedures, and logistical requirements to ensure timely delivery and availability of materials and supplies. This role also fosters a collaborative, high-performance team environment by encouraging innovation and recognizing achievements for team morale.
Duties and Responsibilities
•Coordinate and expedite the flow of materials for departments according to operational needs and priorities.
•Review operation schedules and related information and confer with department supervisors to determine material requirements.
•Identify overdue materials and track materials.
•Requisition material and establish sequential delivery dates to departments according to job order priorities and material availability.
•Examine material delivered to departments to verify conformance to specifications.
•Arrange warehouse transfer of materials to meet customers’ schedules
•Compute the amount of materials required to complete job orders, applying knowledge of products and processes.
•Compile and maintain manual or computerized records, such as material inventory, in-process production reports, and status and location of materials.
•Move or transport materials from one department to another, manually or using material handling equipment.
•Arrange for the repair and assembly of the material or part.
•Recognize and acknowledge high performance, encourage creativity, calculated risk-taking, and suggest team-building activities.
•Compiles and maintains manual or computerized records, such as material inventory, in-process production reports, and status and location of materials.
•Responsible for updating clerk schedules and ensuring appropriate coverage during absences or staffing gaps.
•Participate in the on-call rotation and respond to storm restoration efforts and emergency events to ensure timely distribution of materials for customers
•Recommend and implement process improvements for warehouse operations, which include training team members on procedures, safety practices, and the use of inventory systems.
•Monitor and maintain optimal inventory levels of critical materials, perform regular cycle counts, and reconcile discrepancies.
•Work collaboratively with the purchasing department to ensure timely purchase of all materials.
Education and Experience
•High school or equivalent education.
•Demonstrated leadership and organizational skills. Prior leadership experience of at least 2-3 years is desired.
•Perform multi-faceted projects in conjunction with everyday activities.
•Basic knowledge of Microsoft Office Software.
•Working knowledge and experience in inventory control, quality assurance, and Material Repair Operations techniques, processes, and materials.
•Basic PC experience in a Microsoft Windows environment, proficient with e-mail, Microsoft Word, Excel, PowerPoint, and other software.
•Barcoding experience preferred.
Certifications Other Requirements
•Possess and maintain a current, valid driver's license in the state of residence and demonstrate safe and responsible operation of motor vehicles. Must be insurable under the company's insurance policy.
•Recent forklift operations are necessary. Forklift certification is preferred or must be obtained within 60-90 days.
•Energetic, “Hands-on” or “shirt sleeves” type team leader. This person needs to be willing and able to do anything/everything in the storeroom.
•Ability to understand the rules and how to service our customers within the rules.
