The Inventory Specialist plays a critical role in ensuring the accuracy and integrity of inventory and billing data within our ERP system. This position is responsible for reconciling truck driver delivery documents with logistics system records, validating and preparing inventory data for billing, and supporting financial reporting processes. The Inventory Specialist works closely with Dispatch, the Inventory Manager, Billing, and Finance teams and is expected to develop technical expertise in the company’s logistics system.
- Review and reconcile driver delivery documents against logistics system records.
- Identify and resolve discrepancies in product movement, quantities, and timing.
- Clean and prepare inventory data for accurate import into the ERP system for billing and financial reporting.
- Ensure that inventory movements are properly reflected in the ERP system and collaborate with accounting to ensure accurate financial reporting of inventory movements.
- Monitor the timing of inventory receipts and BOL resolutions to ensure proper accounting treatment of unbilled liabilities and COGS.
- Generate and maintain inventory-related reports to support Finance, Operations, and Management.
- Provide variance analysis and insight into inventory movement trends and reconciliation issues.
- Support month-end close processes, ensuring all inventory movements are accurately recorded and reconciled.
- Develop subject matter expertise in logistics system and its integration with the ERP.
- Serve as a key user for process improvements, data integrity initiatives, and cross-functional training related to inventory data.
- High school diploma or equivalent required; associate or bachelor’s degree is strongly preferred.
- Minimum of 3 years of experience in billing, logistics or data management, preferably in a high-volume environment with a company of comparable size.
- Strong attention to detail and proven ability to perform accurate and timely reconciliations.
- Strong working knowledge of Microsoft Excel (pivot tables, lookups, basic formulas for data validation).
- Ability to analyze large sets of data and resolve discrepancies across systems and source documents.
- Strong organizational skills with the ability to prioritize and manage multiple tasks and deadlines.
