Overview
The Fleet Safety Manager will oversee all aspects of safety and regulatory compliance within the company's transportation operations. This role is responsible for ensuring all transportation activities adhere to federal and state regulations, including DOT, FMCSA, and OSHA. The ideal candidate will have in-depth knowledge of DOT regulations, and a proven track record of maintaining and enhancing safety compliance.
Responsibilities
•Develop, implement, and maintain safety programs to ensure compliance with DOT, FMCSA, CSA, ELD regulations and company policies.
•Monitor and enforce adherence to safety regulations, including Hours of Service (HOS), driver qualifications, vehicle inspections, and record-keeping.
•Conduct regular safety audits and inspections to assess compliance with DOT standards and identify areas for improvement.
•Oversee the training of staff on safe driving practices, first aid, CPR, and occupational health protocols.
•Investigate accidents, incidents, and near misses, prepare detailed reports, and implement corrective actions as necessary.
•Maintain and update safety manuals, training programs, and procedures to reflect current regulatory changes and best practices.
•Provide safety training for drivers and other employees to ensure understanding and compliance with DOT regulations.
•Work closely with VP Finance and other departments to ensure DQ files and certifications are up to date and in compliance.
•Oversee the management of fleet maintenance records and ensure that all vehicles meet DOT safety and operational standards.
•Prepare and submit all required DOT and regulatory reports and documentation in a timely manner.
•Stay up to date on changes in transportation regulations and laws, including FMCSA, DOT, and OSHA. Ensure the company remains compliant.
•Lead investigations and responses to DOT audits and inspections.
•Act as a liaison between the company and regulatory authorities, including DOT, state agencies, and other compliance organizations.
•MCS-150 Filings: Prepare accurate filing of MCS-150 forms with the FMCSA to maintain up-to-date registration for the company’s fleet.
•DataQs Management: Respond to and manage DataQs submissions, working to resolve discrepancies related to safety performance, violations, inspections, and audits.
•HUT Filings: Prepare and file multi state filings.
•Monitor onboard cameras for harsh events and trends.
•IFTA filing: Prepare and file quarterly return.
•Coordinate drug screens, testing and physicals.
•Work with insurers to take advantage of safety training programs.
•Renew and maintain all fleet permits including DIV and Special Haul.
•Send 60 and 30 day reminders to CDL drivers related to medical certification and license renewal.
•Maintain and renew all vehicle registrations and annual insurance packets.
•Regularly seek professional development training related to fleet safety and logistics. Minimum expectations are the TANY Annual Safety Symposium, the TANY Annual Management Conference, and any training relevant classes offered by TANY or other.
•Assist all drivers with compliance paperwork required in vehicles.
•Maintain additions/deletions to LENS program.
•Work closely with Chief of Fleet Maintenance to ensure the safe and efficient operation of fleet vehicles.
Requirements
•Minimum of 3 years of experience in transportation safety and compliance management, with a strong understanding of DOT, FMCSA, IFTA, MCS-150, and DataQs.
•In-depth knowledge of DOT regulations, including FMCSA, OSHA, IFTA, and other relevant safety regulations.
•Experience managing safety programs, compliance documentation, and regulatory filings (MCS-150, IFTA, etc.).
•Experience with DataQs submission and dispute resolution.
•Strong attention to detail and ability to manage multiple compliance tasks simultaneously.
•Excellent communication and leadership skills with the ability to train and lead teams.
•Proficient in Microsoft Office Suite (Word, Excel, Outlook) and safety/compliance management software.
•Ability to work under pressure and handle multiple priorities effectively.
•Ad HOC projects as assigned
Preferred
•Bachelor’s degree in Transportation, Logistics, Safety Management, or equivalent experience.
•DOT safety certifications and training (e.g., CDL, Safety Management Certification) are a plus.
