POSITION PURPOSE

The Fleet Administrator is responsible for overseeing the administration, coordination and maintenance of all company fleet vehicles and equipment. The Fleet Administrator assists the Fleet Manager in department tasks, projects and record keeping.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Employee shall perform all duties and responsibilities with Sunland's Core Values at the forefront.
Establish and maintain accurate records for new and existing vehicles and equipment, transfers, disposals, hard files and fuel cards.
Ensure Fleet department is in compliance with government rules and regulations including regular reporting requirements.
File paperwork in support of department compliance as needed.
Update vehicle status, driver assignments and registration information daily.
Code and approve invoices for the department promptly and accurately.
Responsible for processing AP and AR for the department.
Manage all vehicle related tasks to include: entering fuel/meter readings, updating mileage, registration renewals, and title transfers and setting up/distributing fuel cards.
Assist with the purchasing of company vehicles and equipment.
Create and maintain the monthly list for annual truck inspections.
Process weekly work orders for preventative maintenance.
Renew insurance and registration for all vehicles and equipment.
Provide fuel rate updates.
Ensure that all Fleet reporting data returns are correct and in line with expectations.
Act as liaison between the Fleet Department and other departments/divisions, as well as, external contacts, clients, etc.
Attend meetings with the Fleet Manager and be accountable for the administrative tasks distributed during the meetings.
Collect, file, and maintain all department records and reports.
Work in conjunction with Human Resources department to ensure all employees within the Division have up to date records and files.
Act as a point of contact for Division employees and assist employees with questions and concerns.
Answer telephone calls, take messages, respond to questions and direct callers appropriately.
May perform basic administrative and clerical functions to include: filing, copying, typing, etc.

Safety

All employees must wear the appropriate personal protective equipment (PPE).
Serves as a safety ambassador by complying with federal, state and local laws, as well as Company safety policy, enforces safe work practices, and proactively identifies and remedies worksite hazards.


PHYSICAL DEMANDS AND WORK ENVIRONMENT

This position operates in a professional office environment that routinely uses standard office equipment requiring the ability to communicate in person and over the telephone with other employees, the ability to interpret printed materials and a computer screen, the stamina to maintain attention to detail despite interruptions, the ability to lift and carry supplies and files weighing up to 10 pounds and to move about the inside of the office to access supplies, office machinery, etc.
May be required to work on a project site and if so, would be exposed to all weather, including extreme hot and cold temperatures.
Employee might be exposed to various chemicals, vapors, pollutants, virus or other air-borne pathogens, gases, uneven surfaces, loud noises, moving vehicles or machines and dust/debris.


Position Type/Expected Hours of Work

This is a full time position. Occasional evening and weekend work may be required as job duties demand.

MINIMUM QUALIFICATIONS


Education and Work Experience

High School Diploma or GED or sufficient experience required.
Minimum of two (2) years Fleet Administrative experience required.
Strong organizational skills required.
Accounting background/experience preferred.
Proficient with Fleet software applications.
Must be fluent in English, i.e., must be able to speak, read and write English.


Certifications, Licenses, and Registrations

Passing a pre-employment drug and alcohol screening and background check is required.
