FIELD SERVICES ADMINISTRATOR - JOB DESCRIPTION
CORE is growing, and we’re looking for a Field Services Administrator to support our expanding operations at our Crossfield manufacturing facility. This is a great opportunity to join a dynamic team focused on delivering exceptional customer experiences and high-performance project execution.
Reporting directly to the Field Operations Manager at CORE’s Crossfield Plant, the Field Services Administrator is responsible for supporting the day-to-day operations of CORE’s field services team and will work with all the members in the Field Services team, but primarily with the Manager, the Project Execution Coordinator, and Field Foremen.
DUTIES AND RESPONSIBILITIES
•Prepare and complete Quality Control (QC) packages for completed projects.
•Support and maintain CORE’s Quality Management System (QMS).
•Monitor project performance against estimates/quotes: identify and report on non-productive time; track and analyze productivity versus estimates.
•Maintain and update the Customer Service (CS) Job Folder for all projects.
•Use Spira tools to manage: scheduling; dashboards; employee utilization and retention.
•Review and approve daily field tickets: Distribute tickets to inspectors and follow up on outstanding signatures.
•Manage third-party billing: generate charge-back tickets in Spira with appropriate backup documentation; coordinate with inspectors to finalize and sign tickets.
•Dispatch projects to Foremen via Spira-enabled tablets.
•Forward completed and signed tickets to Accounts Receivable (AR) for invoicing.
•Provide daily, weekly, and monthly operational reports as required.
•Assist in maintaining the Preventive Maintenance Program.
•Deliver weekly equipment utilization reports.
•Manage and update CORE’s online training portal and public-facing documents.
•Oversee document control for the Field Services department.
REQUIRED QUALIFICATION, EXPERIENCE, SKILLS & EDUCATION
•Minimum 3 years of administrative experience in the construction, oil and gas, or manufacturing industry Proficient with Spira Web, and Microsoft Excel
•Advanced skills in Microsoft Excel (formulas/calculations, data sorting and filtering, pivot tables, conditional formatting).
•Experience to Spira Web an asset.
•Strong communication, organizational, and interpersonal skills.
•Self-motivated and capable of working independently, with strong organizational skills and a proven ability to manage tasks and deadlines without close supervision.
•Strong team player with a collaborative mindset — proven ability to work effectively across departments and contribute to team success in fast-paced and dynamic environments.
QUALITY MANAGEMENT SYSTEM (QMS)
•Understand and apply the CORE Quality Policy.
•Maintain awareness of and adherence to the CORE Quality Management System.
•Actively participate in: training sessions; operational improvement initiative; identifying non-conformity; implementing corrective and preventative actions;
•Follow all applicable Standard Operating Procedures (SOPs) and Work Instructions.
WORK LOCATION
•Primary: CORE’s Manufacturing Facility; Crossfield, AB.
•CORE’s Downtown Calgary Headquarters (as needed).
