Facilities Specialist III

Position Summary:

The Assistant Facilities Manager supports the Facilities Manager in overseeing the operations, maintenance, and safety of a corporate office environment. This role requires a proactive person who can organize and lead projects, coordinate vendor services, and ensure a professional, efficient, and safe workplace for employees and visitors. The ideal candidate demonstrates strong leadership, communication, project management and problem-solving skills, proficiency in finance, and has previous experience working in an office environment.

Key Responsibilities:

- Lead and supervise custodial, maintenance, and support staff, fostering a culture of accountability and teamwork

- Coordinate office space planning, workstation setups, and employee moves in collaboration with HR and IT

- Oversee vendor relationships and service contracts for cleaning, landscaping, security, and maintenance

- Ensure compliance with corporate policies, safety regulations, and environmental standards

- Respond promptly to facility-related service requests and emergencies

- Support budget planning and cost control for facility operations and capital projects

- Own and be accountable for small and medium sized projects

- Maintain accurate records of inspections, maintenance schedules, and service logs.

- Participate in business continuity and emergency preparedness planning

- Promote a clean, safe, and welcoming office environment aligned with company values

Qualifications:

- 5+ years of experience in facilities operations, preferably in a corporate office setting

- Proven experience in team leadership or supervisory roles

- Strong understanding of building systems and office infrastructure

- Proficiency in Microsoft Office and with project planning and management tools

- Excellent organizational, interpersonal, and problem-solving skills

Preferred Qualifications:

- Experience managing a reservable desking environment

- Proficiency in office moves and restacks, and move management

- Facilities Management Professional (FMP) or Certified Facility Manager (CFM)

- College Degree preferred

- First Aid/CPR Certification
