Freedom Forever is currently hiring for a Facilities Coordinator at Temecula Headquarters!
POSITION SUMMARY:
The Facilities Coordinator be responsible for maintaining a safe and orderly environment throughout the facility. The Facilities Coordinator will be the first point of contact for contractors at our Headquarters. The Facilities Coordinator duties also include offering administrative support across the organization. You will coordinate daily operations throughout the building, and you will be asked to refill break room supplies throughout the facility.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
•Maintain office security by following safety procedures
•Order front office supplies and keep inventory of stock
•Update meeting room calendars and prepare meeting rooms for meetings
•Keep updated records of office expenses and costs
•Refill standard break room supplies
•Receive and Complete Facilities Maintenance requests.
•Perform other duties as assigned
•Remain knowledgeable about Company Safety Guidelines and able to coordinate emergency evacuations.
•Be POC for Janitorial/HVAC/Other Vendors and maintain regular schedules for services
•Maintain Office Supply inventory and purchasing using established Facilities Guidelines
•Maintain Office Coffee Systems
•Daily Cleaning and maintenance of all machines
•Inventory and purchasing
•Maintain Breakroom supplies
•Inventory and purchasing
•Receive Requests for supplies and fulfill using established Facilities Guidelines
•Manage Booking requests for all meeting spaces
•Coordinate Training/Sales/Corporate meetings
•Order catering as needed
•Manage Facilities Events
•Help to create monthly events calendar
•Order Catering as needed
•Coordinate Tournaments and Contests sponsored by Facilities
•Promote Facilities events to local staff
•Facilities Repairs/Requests:
•Investigate Facilities requests for HQ locations
•Determine if repair can be handled in house or needs to be outsourced to Handyman

EX: Clogged toilet - attempt to unclog, if unable then call plumber from vendor list

EX: Cracked windowpane - Document incident and request repair from Window Repair company

EX: Minor sink overflow - Mop up water and assess damage, if damage is extensive or water extraction is needed call vendor from vendor list
•Determine if request can be handled in house or needs to be outsourced to Tasker

EX: Desk needs to be moved to new office on the other side of the building - Likely a two-person job, call a tasker

EX: Desk needs to be shifted to opposite wall in an office - This can be done with existing furniture movers and one person

+ Spare parts for on-site repairs to office furniture
+ Tools
+ Wall paint for touch ups
+ Samples of existing flooring
+ Maintain Facility Keys
+ Keep all stored items in order
+ Work with various departments on file storage
+ Yearly inventory of Facilities Stored items
+ Maintain updated inventory list as items are added and removed
+ Receive deliveries according to Established Facilities Guidelines
QUALIFICATION REQUIREMENTS:
Education & Certifications:
•High School Graduate or GED
Experience:
•1 year work experience as a Facility Coordinator, Warehouse Manager, Office Manager, or similar role
•Proficiency in Microsoft Office Suite
•Hands-on experience with office equipment (e.g. printers)
•Professional attitude and appearance
•Solid written and verbal communication skills
•Ability to be resourceful and proactive when issues arise
•Excellent organizational skills
•Multitasking and time-management skills, with the ability to prioritize tasks
•Customer service attitude
Knowledge, Skills & Abilities:
•Strong verbal and written skills
•Basic understanding of building maintenance
•Excellent organizational and time management skills
•Detail-oriented and enjoys working in a fast-paced environment
•Strong computer skills including proficiency in MS Word, Excel, Outlook, and internet use
