Executive Assistantlooking for an opportunity to grow, we have an exciting opportunity for you! Based in
St. Louis, MO, this role will provide excellent, comprehensive administrative and operational support. The highly motivated, customer-centric candidate will be responsible for both general executive administrative tasks as well as operational and project management activities. We have two openings - one supporting our Chief Transformation and Sustainability Officer and one supporting our Chief Operating Officer.
As An Executive Assistant, You Will
- Manage sensitive matters with a high level of confidentiality and discretion
- Sustain a daily calendar of meetings and events; Organize complex calendars and schedules; resolve any scheduling issues
- Prepare Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents to support the organization's objectives.
- Arrange travel and accommodations for executives. Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information, and referring non-routine calls to the appropriate staff.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Ability to effectively interact with the direct reports of the Chief Transformation and Sustainability Officer or the COO, and with the executive level of customer organizations
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
- Ability to document meeting actions and follow up accordingly
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
- Ability to help coordinate off-site meetings as needed
- Be responsive to emails/texts/phone calls, with contact outside normal business hours
- Associate's degree and at least 7 years of administrative experience with executive leadership at a publicly traded company, or equivalent combination of education and experience
- Intermediate to expert knowledge and use of Microsoft Word, Outlook, Teams, PowerPoint, Excel, and SharePoint
- Excellent skills using advanced communication equipment, specifically in conference rooms and for meetings
- Positive, can-do demeanor even in stressful situations
- Experience building relationships and partnering with executives
- Ability to handle confidential information with integrity and exercise discretion
- Strong attention to detail and accuracy, with a high level of discipline and timely follow-through
- Strong problem-solving skills, with a bias toward action and enabling the team to execute efficiently and effectively
- Ability to work independently and function as part of a team in a dynamic, agile work environment
- Well-developed organizational, prioritization, multitasking, and time management skills
- Strong, clear, and concise verbal and written communication skills and the ability to interact with all levels of internal and external contacts with tact and professionalism
- Ability to travel occasionally to provide on-site support at internal or customer events
- Legal work authorization in the United States - Sponsorship will not be provided for this role
- Bachelor’s Degree
- 10 years of administrative experience with executive leadership
- Previous support of a Chief of Staff at a publicly traded company or prior support of a C-Suite executive with exposure to a Board of Directors
- Oracle experience
- Ability to create well-organized, visually pleasing, and creative PowerPoint presentations
- Experience organizing, facilitating, and executing large meetings or events with executive and senior customer stakeholders
- Ability to apply critical thought to business activities and develop recommendations
