We have a really exciting opportunity to join our team as
Executive Assistantto the US CEO. This role is much more than just calendar management and scheduling, as we are looking for someone with a strong work ethic who can handle a fast paced environment. This person will be a point of contact for the CEO and other key leaders in the team, involved in a variety of tasks such as onboarding and welcoming new people to the team, scheduling meetings/calls for the CEO, helping to organize and run internal and external events for the company and clients, as well as booking team socials.
You'll also have the opportunity to work across different areas in the business and get exposure to things such as Marketing, Recruitment, Onboarding, & People Operations - giving you the opportunity to progress with your career at Octopus.

What You'll Do...
- Act as the primary point of contact among executives, employees, clients, and external partners.
- Manage executives’ calendars, schedule appointments, and coordinate meetings.
- Arrange travel and accommodation for executives.
- Assist in organizing, hosting, and running both internal and external events for prospective clients.
- Oversee internal and external communications across multiple platforms, including email, LinkedIn, and Slack.
- Take meeting minutes and provide concise summaries.
- Screen and direct phone calls, as well as manage correspondence.
- Prepare executives for meetings by compiling briefing notes and key information.
- Organize team social events, booking venues, and scheduling activities.
- Provide cross-functional support in marketing, onboarding, recruitment, and accounting when needed.
- Experience working in a fast-paced environment.
- Strong work ethic with a proactive and solutions-oriented mindset.
- Exceptional organizational and time management skills.
- Proficiency with Google Suite (Docs, Sheets, Slides, Calendar, etc.).
- Previous experience as an EA reporting to a C-suite executive in a high-growth company is strongly preferred; Or experience in the F&B/hospitality industry (or a similarly dynamic setting).
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
