Job Summary: This role provides high-level executive and administrative support to the entire small business unit. Primary responsibilities include maintaining the business financials in QuickBooks, managing the office , coordinating meetings and travel, and handling confidential communications. The Executive Assistant plays a vital role in helping executive leadership stay focused, organized, and aligned with strategic priorities in a fast-paced, mission-driven environment.
- Provide daily administrative support to the CEO, including calendar management, scheduling, and correspondence handling
- Coordinate travel arrangements, logistics, and prepare materials for meetings and events
- Managing the office with scheduling, document preparation, and communications
- Attend key meetings, take notes, and ensure distribution of meeting summaries and action items
- Serve as a liaison between executive leadership and the business employees
- Track, manage and coordinate with Project Mangers project timelines, follow-ups, and deliverables to ensure deadlines are met
- Maintain a well-organized office environment and oversee coordination with vendors and service providers
- Draft, proofread, and manage executive-level communications
- Monitor and respond to communications on behalf of leadership, maintaining professionalism and confidentiality
- Bachelor’s degree in Business Administration, Communications, or a related field is a plus
- Minimum of 2–5 years of experience supporting senior executives, preferably for a technical company such as engineering and/or software development environment
- Must be able to handle confidential information with discretion and integrity
- Occasional attendance at offsite meetings or events may be required
- Strong organizational and multitasking skills with the ability to prioritize competing tasks
- Excellent written and verbal communication skills
- High proficiency with QuickBooks, Microsoft Office Suite, Microsoft TEAMS, and project management tools
- Familiarity with a time tracking application like Get My Time.
- Ability to work independently while collaborating effectively with a range of stakeholders
- Calm under pressure and comfortable managing shifting priorities
- Strong interpersonal skills, with the ability to influence without authority and maintain professional boundaries
- Attention to detail, problem-solving ability, and a proactive mindset
- Experience in a mission-driven or high-growth environment
- Experience in Nuclear Power industry is a plus
- Familiarity with governance support
- Demonstrated ability to work with senior-level leadership and external partners
- Familiarity with out of state and international tax laws is a plus
- Based in a regional office environment with flexibility for remote work
- May require occasional travel or evening availability for meetings and events
- Fast-paced, collaborative, and professional workplace
