Responsibilities Job Purpose

As an Executive Assistant, you're at the heart of your Executive(s) and their team's business operations and activities and the soul that keeps them moving forward. You anticipate the needs of your managers and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. You move quickly with the changing environment and are up to date with the latest Pattern processes, policies and procedures. You also use that knowledge to strategically support your team's projects. In addition to being organized and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people and job functions across the organization.

Key Accountabilities

- Manage complex calendars efficiently using Outlook including vetting, prioritizing, and providing recommendations; Assist with the scheduling of multiple stakeholder meetings and contribute to leadership meetings by taking notes and following up on any action items

- Help ensure leaders are properly prepared and on time for all meetings by proactively looking and planning ahead; proactively manage any follow up needed on project deadlines and applicable team deliverables

- Manage event planning and coordination for team meetings, all-hands meetings, and One Pattern Weeks; own the agenda coordination and all other administrative details of these meetings; Partner closely with WOE team to ensure best EE experience possible

- Make domestic and international travel arrangements and process travel expense reports based on direction from traveler; draft detailed travel itineraries and provide remote assistance with logistics and travel arrangements with input from traveler, including visa processing

- Assist with ensuring the timely review and submission of expenses through Concur; preview and provide feedback regarding team expense reports, and assist with managing leader’s or team’s morale budget

- Flexibility to take on a wide range of responsibilities to support assigned management/department with

- Ability to establish workflow priority based on assessment of tasks and consideration of interdepartmental needs.

- Aptitude for working in collaborative team environments with a focus on maturity, proactive communication, relationship building skills and resiliency.

- Curiosity and proactive learning mindset to support continuous growth both personally and for the business.

- A “Self-starter” mindset that takes initiative to continuously improve processes for ongoing effectiveness of the department and company as a whole.

- Provide support to the team with various projects which will require ability to manage multiple, concurrent tasks with the highest levels of professionalism, confidentiality, timely turn-around and client service.

- Willingness and ability to guide/mentor junior administrative staff

- Strong communication skills, verbal and written.


Technical Skills

- Intermediate knowledge of Microsoft Office Suite (i.e. PowerPoint, Word, Excel, and shared collaborative tools such as SharePoint and/or OneDrive for Office 365) or equivalent platform

- Comfort in learning new technologies as to become proficient in desktop systems/internal software necessary to successfully perform assigned tasks. May be asked to become departmental “expert” and/or “trainer” in specified software platforms.

- Seasoned knowledge and application of travel coordination and management.

- Demonstrates understanding of company policies and procedures and their application and impact on company operations and success.
