Job Summary
The ideal candidate will provide top-level assistance for high-level executives. They should be well-organized and comfortable scheduling meetings, drafting memos and responding to emails on the executives' behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Key Responsibilities
•Provide Executive Support to the CEO and COO while creating a smooth and efficient day-to-day operation for Pierce Powerline.
•Exceptional customer service and excellent interpersonal skills with strong attention to detail.
•Oversee document management, facilitate communication, liaise with vendors, and assist with various projects as needed.
•Arrange meetings, send invitations, prepare agendas and track action items to ensure follow-through.
•Coordinate travel arrangements, manage event logistics, book accommodations and dining reservations.
•Act as a liaison between the CEO, COO and internal/external stakeholders, maintaining clear communication.
•Organize and maintain inboxes. Prioritize and respond to emails, schedule meetings and ensure seamless calendar coordination.
•Assist with personal details for scheduling personal appointments.
•Taking initiative and anticipating business and personal needs.
•Making connections and maximizing relationships during various conferences.
•Assist in all event planning for company events including registration, setup, breakdown, and travel.
•Oversee Pierce Swag and purchasing of marketing back drop and trinkets.
•Managing credit card purchases for CEO and COO for airfare, appointments, company lunches, membership dues, company subscriptions, hotels and personnel related.
•Work with third party on website for company information and updates.
•Create employee recognition program for staff birthday celebrations and anniversaries.
Requirements
•High School Diploma or GED
Ability to pass a pre-employment drug test and background check.

•Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
•Proficient in Microsoft Suite (SharePoint, Outlook, OneNote, Word, Excel, Spreadsheets, Analytics, Adobe, PowerPoint), Canva and other relevant software programs.
•Proficient in typing and creating correspondence.
•Knowledge of Apple products.
•Strong understanding of company logistics.
•Ability to work independently and take initiative.
•Being able to keep company information confidential.
•Dependable and able to maintain a work schedule.
Experience:
•Executive Assistant: 3-5 years (Preferred)
•Customer Service: 3-5 years (Preferred)
