The Executive Assistant to the CIO/CAO provides high-level administrative support to the Chief Information/Administration Officer in a fast-paced, evolving environment. This role is responsible for managing the executives calendar, coordinating travel arrangements, assisting with overseeing multiple projects and ensuring the CIO remains organized, informed, and efficient. The position requires exceptional discretion, responsiveness, and the ability to manage changing priorities with minimal direction.
Manage and maintain the CIOs calendar using Microsoft Outlook, including complex scheduling, conflict resolution, and meeting prioritization.
Coordinate all travel logistics, including flights, hotel accommodations, transportation, and detailed itineraries.
Monitor and manage incoming and outgoing communication on behalf of the CIO, ensuring timely responses and proper follow-up.
Prepare meeting materials, presentations, and correspondence; assist with formatting and editing documents in Microsoft Word, Excel, and PowerPoint.
Track and follow through on tasks, deadlines, and outstanding items.
Maintain strict confidentiality of all sensitive and proprietary information.
Serve as a consistent organizational anchor as the department continues to grow and evolve.
Be available to the CIO outside of standard business hours, including evenings and weekends, as needed.
Follow company quality, safety and environmental guidelines as well as employee handbook policies.
Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
35 years of experience providing executive-level administrative support in a professional environment.
Expert-level proficiency in Microsoft Outlook, with a strong grasp of calendar management, meeting coordination, and task tracking.
Experience with general project management tools (e.g. Monday.com, Asana, etc.)
Strong working knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Ability to work independently with minimal direction and manage multiple priorities.
Ability to adapt quickly to shifting priorities in a fluid environment.
