Position Summary
The Event & Conference Services Manager leads the company’s team of event planners in planning, coordinating, and executing a wide range of company events, functions, and meetings attended by Company executives, leaders, employees, industry peers, customers and community members. As the team leader, the Event & Conference Services Manager will provide overall leadership and expertise for the company’s events portfolio and also act as a lead event planner for certain events, ensuring the delivery of compelling and dynamic experiences that engage our audiences, strengthen relationships, and contribute to business results. The ideal candidate is a strong communicator, skilled project manager, effective collaborator, and enthusiastic about client service.
The Event & Conference Services team is part of Marathon’s Communications & Community Relations organization. The Event & Conference Services Manager will report to the Vice President, Communications & Community Relations.
Key Responsibilities:
•Lead the Event & Conference Services team, including developing team members and capabilities, prioritizing and allocating team resources and workloads, and continuously improving team processes and performance.
•Manage the intake, assignment and fit-for-purpose execution of event and meeting requests, including alignment of schedules and expectations to ensure events are delivered on time, within budget, and in compliance with company safety, branding and contracting standards.
•Complete detailed planning, documentation, management, and evaluation of events and meetings with internal clients and organizations. Services may include, but are not limited to, coordination of venue selection, hotel/lodging accommodations, transportation, catering, audio/visual, signage, promotional materials, and gathering feedback. Identify potential risks and develop contingency plans to ensure smooth event execution.
•Prepare budgets and track costs for events and meetings; conduct cost-benefit analyses of expenditures and cost savings; audit invoices submitted for payment; complete purchase orders and expense reports as needed to facilitate payments.
•Oversee the company merchandise portal, including vendor management, selection of promotional items, adherence to brand standards, and customer experience.
•Establish and manage relationships with hospitality, transportation, event production and technology vendors. Ensure vendors perform services in alignment with negotiated contracts and agreements.
•Collaborate closely with internal organizations including Facilities and Foodservice, Supply Chain, Law, Security and Tax for specific needs of meetings and events and to ensure company, customer and employee requirements are handled within guidelines and policies.
•Identify opportunities and implement improvements to increase operational efficiency and scalability within the event planning workflow by using tools, metrics and best practices to streamline procedures and processes, while maintaining consistency, quality, timeliness, capacity and compliance.
•Track and report on key performance metrics related to event management and production.
•Contribute to the overall development of the broader Communications and Community Relations team's collective skills and expertise, including championing a culture of safety, innovation and continuous improvement.
Minimum Education & Experience:
•Bachelor’s degree required. Degree in business, event management, hospitality, communications, marketing, public relations, or related field required. Associate degree with 12 years of direct experience will meet requirement in lieu of Bachelor’s degree
•Eight (8) years of experience required in corporate event and meeting planning, hospitality management, and/or program management, including previous experience leading the planning and management of high-profile events/meetings from conception and contracting to execution and post-event evaluations
•Two (2) years of supervisory experience preferred
•Experience with industrial, manufacturing or other safety-sensitive companies preferred
•Certified Meeting Professional or similar certification preferred
Skills and Capabilities:
•Strong organizational and project management skills with attention to details; proven ability to manage and execute a high volume of event priorities concurrently
•Demonstrated ability to plan and manage events ranging in size, scale, visibility and complexity, including presenting concepts, strategies and results succinctly and persuasively
•Strong analytical and problem-solving skills, with the ability to think critically and propose creative solutions
•Advanced knowledge of event management practices, processes and tools (e.g., Cvent, Social Tables, survey tools, etc.)
•Ability to deliver programs with confidence, professionalism and poise, even while under pressure
•Strong vendor management skills, with knowledge of contract negotiation practices
•Excellent collaboration skills; ability to build strong relationships, including with senior leaders, influence event-related decisions, and work effectively in a matrixed organization
•Demonstrated ability to quickly learn and understand complex business lines and stakeholder groups, and a passion for continuously improving business acumen
•Ability to thrive in a fast-paced, continuously changing environment with a high degree of autonomy, accountability and accuracy
Other Requirements:
•Travel up to 40% is required to various field and off-site locations for event planning and execution
•Must be able to lift up to 20 pounds, on occasion, related to event and function preparations
•Ability to work flexible hours, including evenings and weekends as needed
