GENERAL PURPOSE OF THIS JOB (Summary)
Reporting to the Engineering Project Delivery Manager, the Document Controller assists the engineering team in achieving client satisfaction by delivering "Best for Project solutions for Engineering projects.
Set up, implement and operate "right sized" Document Management systems for engineering projects in Autodesk Docs, and SharePoint environments, with flexibility to learn and adapt other database driven systems.
ESSENTIAL DUTIES AND RESPONSIBILITIES
HEALTH AND SAFETY
•Work in compliance with all Health and Safety rules and regulations for Cementation
•Be aware of any health and safety hazards or infractions and report same to Health and Safety Department
•Ensure all applicable safety codes and regulations are met by appropriate design and use of technology
•Be a champion for safety, advocating safe behavior while incorporating safety into the designs produced by the group
GENERAL DUTIES AND RESPONSIBILITIES
•This description lists the core responsibilities and duties of the position. Additional duties deemed to be within the incumbent's capabilities, on an as required basis, might be assigned by management.
•Prepare transmittals for company documents and distribute and track as required
•Work within the existing Autodesk Docs and ProjectWise document management system and aid in implementing improvements as required
•Administer engineering group collaboration tools such as Bluebeam and TEAMS
•Administer engineering group document management protocols
•Perform project document archival activities for all project-related documents
•Prepare reports, memorandums, tracking logs and other documents as assigned by the Engineering Project Delivery Manager and Engineering Project Managers
•Maintain controlled documents and notify affected departments and external vendors and suppliers when changes are made
•Examine documents, such as drawings, change orders, and specifications to verify completeness and accuracy of issuance data
•Confer with document originators or engineering liaison personnel to resolve discrepancies and compile required changes to documents
•Manage document review workflows as required for both project-related and group related documents
•Create project invoices by working directly with the Project Controls Manager, distribute for internal approval and to client for payment
•Other duties as assigned
TRAVEL REQUIREMENTS
•This position has the requirement for occasional travel to project sites and offices
•Travel period may range from one day to several weeks and may include overseas assignments
SUPERVISORY RESPONSIBILITIES
EDUCATION AND EXPERIENCE
•Applicable Post-Secondary Technician or Technology Diploma
•3+ years of related experience preferably in a mining, engineering or construction industry with an emphasis on document control.
SKILLS, KNOWLEDGE & ABILITIES
•Exceptional attention to detail; able to meticulously review, organize, and maintain accurate documentation
•Thorough understanding of Document Control processes and standards, ensuring compliance and accuracy at all times
•Proven ability in proposal preparation, formatting, proofreading, and editing documents to ensure clarity, accuracy and professional presentation
•Ability to build and maintain effective working relationships with other departments, key business partners, and key stakeholders, fostering collaboration
•Excellent written and verbal communication skills
•Ability to work efficiently as a part of a team as well as independently
•Ability to effectively prioritize workload and handle multiple projects, ensuring deadlines and project milestones are consistently met
•Flexibility to accommodate engineering delivery schedules, project demands, and shifting priorities
•Demonstrates initiative, self-motivation, and strong problem-solving skills
•Strong work ethic, reliability, and positive attitude toward teamwork and collaboration
•Advanced proficiency with MS Office software (Word, Excel, Power Point, SharePoint, Outlook) essential for document preparation, tracking, and management
•Working knowledge of ProjectWise, Autodesk Construction Cloud/Docs, AutoCAD are considered an asset and JDE EnterpriseOne considered a plus
