Job Title: Project Document Specialist – Solar (Renewables)
Location: Durant. Oklahoma
Project Type: 350 MW Ground Mount Solar (3 Projects Running Concurrently)
Position Summary
We are seeking a detail-oriented and highly organized Project Document Specialist with renewable energy experience, specifically in ground mount solar projects, to support documentation and project controls across three simultaneously running solar projects totaling 350 MW. This role plays a vital part in ensuring proper document control practices are followed across all phases of project execution, working closely with engineering, procurement, construction, and field teams to maintain compliance, accuracy, and timely document flow.
Key Responsibilities
•
Manage, organize, and maintain all project-related documents including drawings, specifications, submittals, RFIs, permits, transmittals, change orders, and closeout documentation.
•
Coordinate document control activities across three active solar project sites, ensuring standardization and consistency.
•
Implement and maintain project documentation procedures in accordance with company and client standards.
•
Track the lifecycle of key project documents, ensuring timely review, distribution, approval, and archiving.
•
Support field teams by ensuring the most current documentation is always available at all project locations.
•
Interface with Engineering, Construction, Procurement, and Project Management to facilitate document reviews and resolve document discrepancies.
•
Maintain logs, registers, and project document trackers using tools such as Procore, Aconex, or similar platforms.
•
Assist with audits and compliance checks by organizing and presenting documentation as required.
•
Provide general administrative support to the project management team related to document tracking, reporting, and record-keeping.
Qualifications
•
3+ years of experience in a Document Control or Project Support role within the renewable energy sector, preferably large-scale solar projects.
•
Experience supporting multiple projects concurrently is highly desirable.
•
Strong familiarity with document management systems such as Procore, Aconex, SharePoint, or similar platforms.
•
Understanding of engineering and construction documentation including drawings, specs, and contracts.
•
Excellent attention to detail, organizational skills, and the ability to meet tight deadlines.
•
Effective communicator able to coordinate across diverse teams and stakeholders.
•
Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams).
•
Ability to work independently and prioritize in a fast-paced, multi-project environment.
Preferred
•
Prior experience working on utility-scale ground mount solar projects.
•
Knowledge of QA/QC documentation processes, as-built drawings, and project closeout documentation.
•
Familiarity with construction schedules, RFIs, and submittal workflows.
