Description:
The Document Control Specialist is responsible for managing, organizing, and maintaining project-related documents to ensure accuracy, accessibility, and compliance with project requirements and organizational standards. This role primarily focuses on overseeing the lifecycle of project documentation, with a small portion of duties supporting engineering-related tasks to facilitate project execution.
Key Responsibilities:
Document Control Specialist (90%):
•Organize, maintain, and track project-specific documents, including plans, specifications, drawings, contracts, change orders, schedules, and reports.
•Implement and maintain version control processes to ensure the latest project document revisions are available and properly archived.
•Facilitate the timely distribution of project documents to stakeholders, including project managers, contractors, and clients, ensuring accessibility and clarity.
•Ensure project documents comply with regulatory standards, client requirements, and internal quality management systems (e.g., ISO 9001, OSHA, or client-specific protocols).
•Manage project documents within electronic document management systems (EDMS) such as Procore, Aconex, SharePoint, or Bluebeam, ensuring accurate metadata and retrieval processes.
•Prepare and organize project documentation for internal and external audits, ensuring compliance with contractual and regulatory obligations.
•Maintain accurate records of project document transmittals, submittals, and correspondence, ensuring a clear audit trail.
•Safeguard sensitive project documents, ensuring proper access controls and secure storage.
Engineering Assistant (10%):
•Collaborate with project teams, including engineers and architects, to coordinate document submissions, approvals, and updates.
•Assist with basic engineering-related administrative tasks, such as compiling reports or organizing technical drawings for review.
•Support project teams in maintaining project schedules by ensuring timely availability of required documentation.
Qualifications:
•Education: High school diploma or GED, Required
•Experience: 1–2 years of experience in document control, preferably with project documentation in industries such as construction, engineering, energy, or manufacturing, Required
+ Proficiency in project management and document control software (e.g., Procore, Aconex, SharePoint, Bluebeam, or Documentum).
+ Strong organizational skills with attention to detail and accuracy.
+ Ability to manage multiple projects and deadlines in a fast-paced environment.
+ Knowledge of project management standards and regulatory requirements (e.g., ISO, OSHA, or client-specific protocols).
+ Effective communication and collaboration skills to work with cross-functional project teams.
+ Proficiency in Microsoft Office Suite (Excel, Word, Outlook) for reporting and correspondence.
Work Environment:
•Primarily office-based, with potential for hybrid or remote work depending on the organization.
•May involve occasional visits to project sites or interaction with physical records.
•Fast-paced, deadline-driven environment, particularly during project milestones or audits.
