About the Position
We are seeking a versatile and detail-oriented Data Entry Specialist to provide critical support across multiple departments including Purchasing, Estimating, and Accounts Receivable. This dynamic role offers variety and growth opportunities while maintaining accurate data systems that drive our business operations. The ideal candidate thrives in a fast-paced environment and enjoys working with different teams and processes.
Key Responsibilities
Data Entry Management:
•Accurately input and maintain data across multiple systems and databases
•Verify data accuracy and completeness before entry
•Update and maintain customer, vendor, and product information
Purchasing Support:
•Enter purchase orders and requisitions into procurement systems
•Maintain vendor databases and contact information
•Process purchase order changes and cancellations
•Track order status and update delivery information
•Assist with vendor setup and maintenance
•Support inventory management data entry
Estimating Assistant:
•Input project specifications and requirements into estimating software
•Assist with bid preparation and proposal data compilation
•Support project tracking and status reporting
•Organize and file estimate documentation
Accounts Receivable Support:
•Process customer invoices and billing information
•Enter payment applications and adjustments
•Maintain customer account information and credit data
•Generate aging reports and customer statements
•Process refunds and credit memos
Required Qualifications
•High school diploma or equivalent
•2+ years of data entry experience, preferably in a business environment
•Proficiency in Microsoft Office Suite, especially Excel
•Experience with database management and data entry systems
•Excellent typing speed and accuracy (minimum 60 WPM)
•Strong attention to detail and ability to maintain accuracy under pressure
•Good organizational and time management skills
•Ability to prioritize multiple tasks and meet deadlines
•Strong communication skills and ability to work with various departments
•Basic math skills and comfort with numbers
Preferred Qualifications
•Experience with ERP systems (SAP, Oracle, QuickBooks Enterprise, etc.)
•Knowledge of purchasing and procurement processes
•Familiarity with construction or manufacturing estimating
•Previous accounts receivable or billing experience
•Knowledge of basic accounting principles
•Ability to learn new software quickly
