Summary of Position:
This position supports essential financial functions for Hurlbut Holdings, Inc., including its subsidiaries GLC Integrated Services and GLC Minerals. The Customer Care Representative is required to assist in several areas including, but not limited to, Customer Care (50%), Sales Support (20%), Logistics Support (10%), Office Assistance (10%), and Accounting (10%).
Essential Duties and Responsibilities will include the following: Duties may be modified, or additional duties may be assigned.
Customer Care (50%):
•Answer customer order calls, emails, and web-based portal orders and maintain the open orders report as a member of the Customer Care Team
•Maintain packaged goods order schedule and ensure produced inventory meets order demands
•Review and follow up with the customer, carrier, or production on any orders not picked up on the assigned scheduled ship date and update system and appropriate parties accordingly
•Communicate order exceptions or changes to the production team
•Troubleshoot and resolve any scale discrepancies
•Assist with customer care processes, including updating and training Customer Care Representatives on those processes to ensure accuracy and consistency
•Set up new customers, ensuring all necessary forms are complete and on file, including internal documents, and ensure all concerned parties are notified
•Monitor customer ordering activity against forecast and report any changes to appropriate sales manager and customer care manager.
Sales Support (20%)
•Work alongside the Sales team and provide sales support as needed to ensure customer’s needs are met
•Prepare weekly sales reports, including analysis, for the Executive team and assist with other reports as needed
•Initiate the sales quote workflow to ensure all quotes are routed to appropriate parties timely including follow-up as necessary
•Routinely communicate one one-on-one with the Sales team members to keep them abreast of Customer activity
•Accompany Sales team members on customer visits as needed
•Actively solicit new business, qualify leads, and schedule appointments for respective sales managers.
•Enter prospects and leads into Membrain and coordinate with appropriate salesperson.
•Contact customers to solicit orders and develop targeted prospect lists
Logistics Support (10%)
•Communicate load tenders to contracted GLC carriers
•Maintain pick up appointments for carriers
•Provide logistics backup for spot tendering, carrier billing, railcar releases, fuel surcharge schedule and any additional required carrier communication
Office Assistance (10%)
•Receptionist duties, including but not limited to, answering all inbound phone calls, transferring to applicable party, and managing 3rd party after hours relationship
•Greet visitors to the office and assist them with iLobby check-in, ensuring MSHA requirements are also met
•Manage visitor appointments and ensure all proper PPE and other needed requests specific to the appointment are met
•Provide Operations assistance with form creation and digitization of completed paper documents
•Maintain the office common areas in accordance with standard guidelines for office image to ensure the office is always tour-ready. Office image includes keeping common areas free of clutter, periodically sweeping the lobby and entrance, ensuring the conference room stays neat, running the dishwasher, and putting away dishes as needed.
•Manage inbound and outboard mail responsibilities, including postage machine maintenance
Accounting (10%)
•Complete invoicing on a daily basis for GLC Minerals and GLC IS, ensuring all customer invoices are accurate and met their specific requirements
•Support Office Assistant to obtain credit card receipts for applicable credit card holders
•Support Office Assistant to troubleshoot late customer payments and cash application discrepancies
Qualifications:
•Associate degree in a Business-related field or equivalent experience
•Proficient in oral and written communication
•Proficient in Microsoft Excel, Word, Outlook, PowerPoint
•Willing to adapt and grow as new skill sets are needed to fulfill the role
