The Business Support Specialist plays a vital role in ensuring the efficient operation of Messer North America’s Parts Business, Technical Center, and Equipment Teams. This position requires strong organizational skills, attention to detail, and the ability to collaborate across multiple functions to drive business success. The specialist will provide administrative and operational support, streamline processes, and enhance customer and internal team interactions.

- Process purchase order requests from goods receipt through invoice approval.
- Create and submit purchase requests as needed.
- Complete goods receipts upon parts delivery and approve corresponding invoices.
- Maintain a detailed log of all purchase orders, including IO/Cost Center, delivery dates, ordered items, and goods receipt numbers.
- Follow up with Accounts Payable on outstanding invoices.
- Process spares invoices efficiently.
- Invoice all work orders daily and update the spares sales log with invoices and IOs.
- Issue credit memos for returned parts.
- Organize and file invoices and packing slips for accurate record-keeping.
- Oversee maintenance contracts, including annual agreements for lawn care, snow removal, cleaning services, waste disposal, rugs/shop rags, and document shredding.
- Create amount-based purchase orders for contracted services.
- Manage and process monthly utility payments.
- Procure kitchen and office supplies to ensure a well-equipped workspace.
- Collaborate with service contractors for facility maintenance and repairs.
- Order and provide essential items for equipment servicing (e.g., oil, tools).
- Coordinate conference room reservations and catering arrangements for meetings, training sessions, sales engagements, and customer visits.
- This role also serves as the primary receptionist at the Technical Center, ensuring a welcoming and professional environment for all visitors. Responsibilities include greeting customers and Messer guests with warmth and courtesy, providing assistance as needed, and fostering a positive first impression. The individual in this position is expected to maintain a high level of professionalism while facilitating a seamless and hospitable experience for all who enter the facility.
- Facilitate new employee onboarding by ensuring availability of required workwear, boots, and flame- resistant clothing.
- Coordinate the procurement of computers, monitors, and corporate credit cards for new hires.
- Participate in monthly Safety Committee meetings and arrange Tech Center safety meetings.
- Ensure an adequate stock of personal protective equipment (PPE), including safety glasses, earplugs, hard hats, and shoe covers.
- Report potential safety violations to management for prompt action.
- Organize annual safety training sessions for Technical Center staff
- Coordinate CPR certification training for employees.
- Knowledge of SAP or Related ERP business management software systems
- Working knowledge of office equipment, like printers and fax machines
- Excellent time management skills and independent judgement required to prioritize work
- Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint); experience with various databases
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Understanding and adherence to policies and guidelines
- Demonstrated experience in administrative and business process functions.
- Proficiency in MS Office: Word, Excel, Outlook, Teams, etc.
- Associate’s degree or equivalent, Bachelors Preferred
- Minimum 2 years’ experience in similar role
- Customer service experience preferred
- Familiarity with SAP systems to include SAP – PM is preferred
