About This Job

Osmose Utilities Services is seeking a Contract/Proposal Administrator detail-oriented and organized individual with 1-3 years of experience supporting contract and proposal development in a legal or corporate environment to join our team. The Contract Administrator will be responsible for managing all aspects of the contract lifecycle, from negotiation, proposal creation, execution, and analysis to support organizational objectives. This role requires meticulous attention to detail, strong communication skills, and the ability to work collaboratively with various stakeholders. The ideal candidate will be proactive, collaborative, able to work effectively in a fast-paced environment, and will bring a blend of legal knowledge, business acumen, and strong project coordination skills to support our contracts and business development teams. This position offers an exciting opportunity for a detail-oriented individual with strong organizational and communication skills to contribute to the success of our organization.

This in office position is located at our headquarters office in Downtown Atlanta, GA.


Responsibilities:

Contract Administration: Oversee the entire contract lifecycle, from negotiation, proposal creation, execution, and analysis to support organizational objectives. Maintain accurate and organized records of all proposals, contract documents (i.e., Purchase Orders, Statements of Work, Change Orders, etc.), and contracts, including key dates, milestones, and obligations.

Proposal Creation: Coordinating the proposal development process, including gathering requirements, preparing proposal documents, and liaising with internal teams and subject matter experts. Reviewing request for proposal (RFP) documents and developing compliant and competitive proposals. Ensuring proposals are submitted on time and in accordance with customer requirements.

Contract Liaison: Collaborate with internal stakeholders to facilitate the negotiation of favorable terms and conditions for contracts, while not being the primary negotiator.

Stakeholder Communication: Serving as the primary point of contact for contract and proposal-related inquiries from internal and external stakeholders. Facilitating communication and collaboration between cross-functional teams, including sales, legal, finance, and operations. Providing guidance and support to stakeholders on contract and proposal-related matters.

Relationship Management: Build and maintain strong relationships with internal teams, external partners, and legal counsel. Serve as the primary point of contact for contract-related inquiries and facilitate effective communication between parties.

Process Improvement: Continuously evaluate and improve processes for contract and proposal development to increase efficiency and reduce risk. Identify opportunities for automation and efficiency gains to streamline tasks.

Record Keeping: Maintain organized and accurate records of proposals, executed contracts, key milestones, renewals, and obligations using contract and management systems. Prepare and maintain templates and standardized language for contracts and proposal documents.


Qualifications:

Associate or bachelor’s degree in related field and/or 1-3 years of experience working in contract administration, proposal management, legal compliance, or a related field.
Excellent written and verbal communication skills, with the ability to convey complex information clearly and concisely.
High level of attention to detail and accuracy, with the ability to manage multiple tasks simultaneously.
Proficiency in Microsoft Office Suite.
Ability to work independently with minimal supervision and collaborate effectively in a team environment.
Familiarity with contract lifecycle management (CLM) systems or proposal development platforms.
