The Branch Coordinator is the face of our Rialto branch—welcoming guests, hosting events, and creating an engaging, professional, and well-run office environment. This person is responsible for planning and executing branch events, managing daily operations, supporting on-site meetings, and handling calendar and scheduling logistics. They are also the main point of contact for walk-in customers and orders, ensuring every visitor receives a warm, professional, and helpful experience.
This role is a critical link between the branch team, Sales, Business Development, Product Management, and the Executive Leadership Team. From greeting walk-in customers and ordering food for meetings, to setting up events and managing the branch calendar, the Branch Coordinator ensures everything runs smoothly and that our visitors and employees feel valued.
This position reports to the Regional Branch Manager and has a dotted-line relationship to the Marketing department to support branding, events, and customer experience initiatives.
- Plan and coordinate all branch events at the Rialto office and support events at other branches across the U.S., including trainings, trade shows, customer visits, open houses, team events and webinars.
- Manage customer-facing webinars: scheduling, promotion, platform setup, and follow-up.
- Oversee all event logistics, including catering, venue setup, registration, collateral, swag, and technical requirements.
- Align event planning with marketing campaigns and internal communications strategies.
- Track event expenses to ensure adherence to budgets.
- Collect and analyze post-event feedback and performance metrics.
- Coordinate shipping of event materials and collateral.
- Ensure event leads are captured and properly entered into the lead funnel.
- Serve as the front-facing representative of the branch—greet and assist walk-in customers, visitors, and guests with professionalism and warmth.
- Ensure a clean, stocked, and welcoming office space daily.
- Order food for meetings and events, manage office supply inventory, and coordinate deliveries.
- Coordinate calendars for branch leaders and meeting room reservations.
- Support onsite and virtual meetings, including setup and logistics.
- Provide administrative and logistical support to the branch team and cross-functional visitors.
- Support the Marketing team with day-to-day tasks and ad hoc projects.
- Assist Sales teams with business cards, printed materials, and company swag.
- Assist Sales teams with printed materials, business cards, and event follow-up.
- Support cross-functional teams visiting the branch as needed.
- Strong customer service and communication skills.
- Proven experience in event planning, coordination, and execution.
- Familiarity with KPIs and marketing techniques for events.
- Excellent organizational skills with the ability to manage multiple projects and deadlines.
- Proficiency with event management tools (e.g., Eventbrite, Cvent) and Microsoft Office Suite.
- Creative problem-solving skills and attention to detail.
- Ability to work flexible hours, including evenings and weekends, as needed for events.

- At least 3 years in event coordination, office management, or a related administrative role; B2B or branch operations experience is a plus.
