As a Billing & Contracts Coordinator, you will play a pivotal role in ensuring the accurate execution, administration, and compliance of contracts. This position is responsible for supporting the full contract lifecycle—from preparation to compliance monitoring and billing—ensuring that all contractual obligations are met and that invoicing processes are timely and accurate. You will collaborate closely with contracts management, finance, and operations teams to ensure seamless integration of contract terms into project workflows, while also supporting financial operations through accurate billing, revenue tracking, and audit readiness. This role is ideal for a detail-oriented professional looking to start their career within technical or industrial service environments.
Key Responsibilities:
Project Administration
•Manage daily Labor, Equipment and Material (LEMs) forms and tracking for Canadian projects.
•Prepare weekly and monthly progress reports to ensure visibility into contract status and billing progress across multiple projects.
•Prepare weekly forecasting for manpower tracking, flights and lodging, cost reporting, and other project-specific reports.
Contract Management
•Assist in reviewing and revising service agreements, purchase orders, and other contractual documents.
•Maintain a centralized and organized repository of all contracts and amendments.
Billing and Invoicing
•Generate accurate invoices based on contract terms, timesheets, service tickets, or project milestones.
oordinate with finance to ensure revenue is recognized correctly and in the appropriate accounting period.
•Address and resolve billing discrepancies or disputes with internal teams, clients or vendors.
Coordination and Communication
•Work closely with operations and finance teams to ensure alignment on contract and billing matters.
•Serve as a point of contact for clients regarding billing questions, contract clarifications, and payment follow-ups.
Compliance and Reporting
•Provide documentation and support during internal or external audits.
•Generate regular reports on contract status, billing progress, and outstanding receivables, and coordinate with finance.
System and Data Management
•Leverage systems to manage billing and contract data.
•Ensure all data entered into systems is accurate and up to date.
Position Requirements:
•Post secondary education in business administration, commerce, supply chain, or a related field.
•Internship or co-op experience in administrative, finance, or project coordination roles is an asset.
•Up to two years’ experience in contract or billing administration, with a focus on technical industries such as Non-Destructive Testing (NDT), engineering, or construction is preferred but not required.
•Exposure to the oil and gas or industrial services sector is a plus but not required.

•Familiarity with ERP systems or document control platforms.
•Basic understanding of CRM systems or a demonstrated ability to learn new software quickly.
•Familiarity with Microsoft Office Suite (especially Excel and Word); experience with SharePoint is a plus.
•Understanding of basic financial or billing principles.
Interest or coursework related to contract law, procurement, or project management is advantageous.
