Summary
Efficiently handles accounts payable tasks in a timely manner by compiling data, preparing invoices and bills as well as assisting with scheduling for the department.
Essential Duties and Responsibilities include the following:
•Responsible for entering vendor invoices against jobs and producing customer billing invoices utilizing Company policies.
•Prepares invoices and reviews accuracy before submission by performing various checks including items sold, amounts due, credit terms, and dates of shipment.
•Prepares purchase orders and reviews accuracy before submission by performing checks including items ordered, price, inventory levels and dates required.
•Investigate and resolve billing and payment discrepancies, submit invoices for approval and payment, and assist with collection of past due accounts when needed.
•Creates files and gathers records such as purchase orders, sales tickets, and charge slips, to compile data needed for reporting.
•Prepares credit memorandums to indicate returned or incorrectly billed merchandise.
•Posts transactions to accounting records such as worksheet, ledger, or computer files.

Qualifications include the following:
•One-year certificate from college or technical school; or three to six months related experience and training; or equivalent combination of education and experience
•Excellent working knowledge of Microsoft Outlook, Excel, and Word; inventory software, order processing software, and accounting software
•Ability to multi-task and handle multiple assignments and priorities in a constantly changing environment
•Excellent verbal and written communication skills for customer service
•Strong focus on details and accuracy
