Job Summary
The Bid Controls Coordinator performs diversified duties, within Strike’s procedural framework, in support of the RFP intake and submittal process. This role works closely with Business Development, Operations, and Shared Services to enter bids into CRM, track assignments and produce timely and competitive proposals. Job duties include RFP intake, client communications, document management, and compiling bid packages for submittal to clients. The Bid Controls Coordinator also updates and monitors Strike’s Client Relationship Management (CRM) system and assists with building excellent client relations.
Primary Job Function
- Support Strike’s bid and estimating controls process, including intake of client RFPs, managing documentation, and otherwise monitoring various aspects of Strike’s bid and proposal process.
- Coordinate the RFP intake process from receipt to submission, including review of requirements, assigning internal deliverables, and managing deadlines.
- Field ongoing communications and facilitate any new information through Strike’s internal process, including capturing significant feedback and metrics in Strike’s Client Relationship Management (CRM) system.
- Assist in compiling final proposals for bid submissions to potential customers in alignment with Strike’s branding standards.
- Participate in the development of processes and systems necessary to effectively monitor the bid controls pipeline across multiple business units as RFPs move through internal approvals, and ensure the process is running smoothly and effectively.
- Schedule and coordinate internal planning and review meetings as needed.
- Generally, support all components of Strike’s bid controls process.
- 1 year of relevant professional experience
- Previous experience in a construction, energy services, and/or project management environment is helpful.
- Previous experience working with CRM systems and/or online vendor portals is helpful.
- Ability to work on multiple tasks simultaneously.
- Work well under tight deadlines with the ability to consistently meet established deadlines.
- Excellent writing and communication skills.
- Strong proficiency of Microsoft products, including Outlook, Word, Excel, and PowerPoint.
- Basic proficiency in Microsoft Visio and Adobe Professional are helpful.
- Quickly and confidently become familiar with new software and systems.
