Daily Duties and Responsibilities include, but are not limited to:
ACCOUNT PAYABLE
•Review pay applications from Subcontractors
•Scan and code subcontractor invoices into TimberScan.
•Prepare, review for accuracy and process lien waivers for subs/suppliers
•Follow-up on past due lien waivers, and other accounts payable items (i.e., contract documents)
•Organize subcontractor checks for distribution
•Communicate professionally with subcontractors and vendors regarding invoices and payment
•Reconcile vendor accounts with vendor statements
•Analyze vendor accounts for past due items and troubleshoot problems as needed
•Organize vendor checks for distribution and mailing/submission
•Process Expense checks and monthly allowance payments to employees
•Enter and process credit card statements
•Setup or approve new vendors in SAGE 300
•Maintain and reconcile Petty Cash monthly
ACCOUNTS RECEIVABLE
•Deposit AR Checks and inform necessary team members
•Work with project managers to create owner billings using the AIA format
•Assist with accounts receivables and special projects when necessary
•Update lien waivers with owners using the contractual lien waiver
PAYROLL
•Setup new employee records in SAGE 300
•Manage and maintain HH2 (time capture tool)
•Import HH2 information into Sage 300 and make any necessary time entry adjustments
•Ensure prevailing wage projects are captured correctly
•Monitor PTO time entries with assistance from HR
•Work with Controller to ensure accurate and timely filing of W-2’s, 1099’s and other year-end reporting requirements
MISC.
•Assist Controller with maintenance and archival of Accounting records, files, and databases
•Assist with internal project closeout process
•Data entry, filing (AIM Compliance Documents)
•Assists in other departments as needed
(additional duties may be assigned)
QUALIFICATIONS
•2-4 years of accounting experience minimum
•Bachelor's degree in Accounting, preferred
•SAGE 300/SAGE Intacct Experience Preferred
•Experience with third party payment systems
•Understanding of Basic Accounting Principles and Best Practices
CURRENT SOFTWARE/PROGRAMS
•TimberScan (AP Workflow and AIM)
•Create-A-Check/Piracle Printer

PERSONAL TIME OFF & HOLIDAYS
•During the first calendar year of employment Employee is eligible to accrue a maximum of 10 days of PTO.
•After one (1) year of service Employees are eligible to accrue a maximum of 15 days.
•After 3 years of service an Employee may accrue 17 days of PTO.
•After 5 years of service an Employee may accrue to 20 days of PTO.
•Company provides paid time off, in addition to the PTO, for the following 8 holidays: New Years Day, MLK Day, Memorial Day, 4th of July, Labor Day, Thanksgiving Day, Day after Thanksgiving, and Christmas Day. Additionally, the Company provides 1 floating holiday that is designated by management each year.
